Abstract

How to connect your external calendars to My Work

Integrating your Google or Office 365 calendars with My Work in Tempo Timesheets allows you to see all your scheduled meetings and other events in one spot. Then, you can quickly log time by just clicking on the activity cards in My Work. For Tempo Planner, the calendar integration facilitates automatic logging of calendar events into Resource planning.

If you're using the Activity Feed in My Work for automated time tracking, you need to first connect one or more of your calendars in order for their events to be available for quick time logging.

Here's a quick overview of how you connect your calendar to My Work and then log time to events from that calendar:

  • Calendar events are visible in My Work only while the external calendars are connected.

  • You cannot edit external calendar events in My Work because no data from external calendars is stored in Tempo. You must edit the event in the external calendar itself.

  • Every calendar event in your external calendar is visible in My Work.

  • Enabling a connection to external calendars automatically synchronizes the calendar events making them visible in the Resource Planning view in Tempo Planner. Available for users with Tempo Planner licenses.

    Should users wish to hide the details of their calendar events from the Resource Planner, they can set the option to replace the titles of all their events to appear 'Busy' in the Resource Planner.

Connecting Your Google Calendar

When integrating your Google calendar with My Work, all your Google accounts are detected and you can select the one to use for syncing with Tempo. 

  1. Go to My WorkMy_Work__1_.jpg and select either the List or Calendar view.

  2. Click the Settings icon settings-icon-issues-side-panel.png at the top-right, and select Settings under ACTIVITIES.

  3. From Activity Settings, click the Pencil_icon.jpg icon next to Google Calendar.

  4. The Calendar Connection page opens where you must choose one of the connection options depending on if you want to use Tempo's automation features or not:

    • Enhanced Calendar with automation includes Tempo Automation which helps you log time faster by displaying your calendar events as activities in your Activity Feed. After selecting Sign in, you'll be prompted to connect to a calendar of your choice.

    • Basic Calendar connection offers basic functionality without automation. No information is stored.

    • Note

      For users with Tempo Planner licenses: You will have the option of hiding your calendar events so that they are marked 'Busy' in the Resource Planning view. To do so, enable Show all calendar events title as "busy" in Tempo Planner.

  5. Sign in with your Google account.

  6. If you have more than one Google account, select the one you want to connect to My Work, most likely your work-related account.

  7. Tempo then requests access permission to your calendar, so click Allow.

  8. If you have more than one Google calendar for this account, select the one whose events you want to display and log time to in My Work.

  9. Click Go to My Work to see your calendar events in both the Calendar and List views. The calendar activity cards are identified with a calendar_icon_google.jpg icon.

  10. To log time to these activities, see Logging Time using the Activity Feed.

Connecting Your Office 365 Calendar

You can integrate an Office 365 or Microsoft Exchange calendar service with My Work. This account will be automatically detected the next time you connect Office 365 to My Work. 

Note

The Office 365 Calendar integration is available only to users with the Cloud version of Office 365. Hosted enterprise editions of Office 365 are not supported.

  1. Go to My Work My_Work__1_.jpg.

  2. Click the Settings icon settings-icon-issues-side-panel.png View at the top-right, and select Settings under ACTIVITIES.

  3. From Activity Settings, click the Pencil_icon.jpg icon next to Office 365 Calendar.

  4. The Calendar Connection page opens where you must choose one of the connection options depending on if you want to use Tempo's automation features or not:

  5. Sign in with your Microsoft Office 365 account and click Next.

  6. If you have more than one Office 365 calendar, select the one you want to display in My Work.

  7. Click Go to My Work to see your calendar events in both the Calendar and List views. The calendar activity cards are identified with a calendar_icon_office.jpg icon.

  8. To log time to these activities, see Logging Time using the Activity Feed.

Tips for Creating Calendar Events

Here's how to make logging time even easier: when you're creating your next Calendar event, give it a descriptive title to identify it in your activity cards and add the Jira issue key in the title. Tempo will pick up the issue key, so you can log time to that event in a single click!

Disconnecting Your External Calendars

If you do not want to see your external calendar as activities in My Work anymore, you can easily disconnect the calendar from My Work. 

  1. In My Work, click on the Settings icon settings-icon-issues-side-panel.png at the top-right, and select Settings under ACTIVITIES.

  2. From Activity Settings, click the Pencil_icon.jpg icon next to the calendar you want to disconnect.

  3. You will be directed to the Tempo Apps page Apps.jpg to sign out of the calendar.

  4. The calendar activity event cards are removed from My Work.
