Configure Tempo Accounts for R&D Cost Classification

Finance receives hours already sorted into your CapEx/OpEx structure, classified the moment they're logged.

1. Add the Tempo Account field to Jira screens

2. Create account categories that match your Chart of Accounts

Map your R&D classifications to category names aligned with finance (e.g. "R&D Capitalized," "R&D Operating," "Sustaining Engineering"). Creating Tempo Account categories

3. Create one account per classification

5. Set Jira space defaults so the Account field auto-populates

For any space that maps to a single classification, set a default Tempo Account. Setting the default Tempo account for a Jira space. The Account field must be visible on the Jira screen for defaults to populate.

6. Validate with a pilot team over a full period

Pull Tempo → Reports → Logged Time filtered by Account Category and confirm every worklog carries the correct classification. Logged Time Reports · Video: reporting on CapEx accounts

7. Iterate on what the pilot shows (optional)

The most common fix is adding a catch-all internal account for non-project time (meetings, training, admin) so workers stop defaulting to the wrong bucket. Note: this step does not necessarily help with CapEx/OpEx classification.

You'll know it's working when more than 90% of worklogs carry a classified Tempo Account within 30 days of setup.

Establish CapEx/OpEx Reconciliation Cadence

A repeatable monthly rhythm that gets you from a 5 to 10 day close to a Finance-ready report in under 3 days.

1. Set a fixed monthly timeline

Decide it up front, not ad-hoc. Example: period closes on the last business day, reconcile on Days 1 to 2, deliver the report by Day 3. Document it and share with Finance and team leads first.

2. Pull the Logged Time report by Account Category

Tempo → Reports → Logged Time. Set the date range to the closed period, group by Account Category, then by Space for a pre-classified CapEx vs. OpEx view. Logged Time Reports · Video: reporting on CapEx accounts

3. Verify completeness before classifying

Cross-reference against submission status and confirm every team member submitted and every submission was approved. Use the approval queue to find outstanding submissions: unsubmitted timesheets mean missing cost data.

4. Check for unclassified worklogs

Filter for worklogs with no Tempo Account assigned, flag the responsible team lead, and set a 24-hour correction window before finalizing.

5. Export the reconciled report

Export to CSV/Excel with Account Category, Space, User, and Logged Hours, the fields Finance needs, with no manual column mapping. Exporting Time Reports. On Forge, save standing reports with Save Report: Saving and Editing Reports.

6. Deliver to Finance with a summary note

Cover the period, total hours by category, and any known data quality issues (e.g. "3 team members submitted late; their hours are included").

7. Close the period

Use Period Management once Finance confirms receipt, which prevents retroactive edits and preserves the audit trail. Closing and Opening Timesheet Periods Manually. Use Period Management for manual close, not the Scheduler.

You'll know it's working when time-to-report drops under 3 business days from your earlier 5 to 10 day baseline.
