Trusted Time Data - Run

Enterprise Compliance Reporting

(Timesheets + BI Connectors)

Feeding time data quality metrics into the BI platform leadership already reads makes completeness a management metric and a standing item in operational reviews, not an admin chore nobody owns.

1. Install your analytics connector

Match it to your BI platform from the Atlassian Marketplace: Power BI Connector for Jira (Cloud), Tableau Connector for Jira (Cloud), BigQuery Connector for Jira (Cloud), or Data Studio Connector for Jira (Cloud).

2. Define the data model

Map worklog data, submission status, team structure, and space hierarchy into your BI schema. Three things to watch: models can get complex when replicating specific KPIs; the API may create separate tables for some fields (one-to-many relationships); and custom fields are occasionally appended with internal IDs that need careful matching (an edge case, but real when it happens).

3. Build the compliance dashboard

Include completeness by team (% of expected worklogs per period), submission timeliness trends, approval cycle time (average days from submission to approval), and cross-team comparisons to spot outliers dragging down org-wide quality. Schedule automated refreshes so the dashboard stays current: Scheduling BI Connector exports.

4. Add it to leadership review

Make time data quality a standing metric in monthly engineering operations reviews.

5. Set org-wide targets

Completeness: more than 95% of expected worklogs submitted per period. Approval cycle: less than two days from submission to approval. Review against both quarterly and adjust as the organization matures.

You'll know it's working when completeness sits above 95% per period across teams and shows up as a standing line in your operations review.

Portfolio-Level Data Quality Governance

(Timesheets + Structure PPM)

Structure PPM validates completeness at the initiative and program level, so a strategic priority short on logged effort gets caught as a data quality issue before it reaches a CapEx report or board deck.

1. Install Structure PPM

Add it from the Atlassian Marketplace. Integration guide: Structure + Timesheets. Video: Extending Structure PPM with Timesheets and Capacity Planner. Note: opening Structure now takes two clicks, the first opens a menu (Structure and Cross-Team PI Planner), the second opens Structure itself.

2. Map your initiative hierarchy

Organize Jira spaces and epics into a portfolio structure that reflects your strategic priorities. See Creating Your First Structure.

3. Enable effort roll-ups

Configure Structure to aggregate logged time from Timesheets at each level: epic, space, initiative, portfolio. See Totals Columns. Before building, agree on how to handle duplicate estimates: each level may carry its own estimate, and when aggregated, lower-level estimates can replace higher-level ones rather than summing. Document the approach first.

4. Create a data quality view

Add columns for Planned Time, Logged Time, and Variance. Flag any initiative with more than a 25% gap between planned and logged hours. (25% is a starting point, adjust to your operational guardrails and planning maturity.)

5. Fold it into portfolio reviews

Make data completeness a line item in monthly portfolio reviews, alongside delivery status and budget.

You'll know it's working when leadership can see logged effort against every strategic initiative and catches a completeness gap before it reaches a CapEx report or board deck.
