How can I identify refunded line items in Power BI Connector for Shopify?

Question

The number of orders in Power BI doesn’t match the number of orders in Shopify. Some line items are cancelled or refunded in Shopify. I can recognize the cancelled line items in the data, but I can’t find a field that shows which line items were refunded. How can I identify refunded line items?

Answer

Power BI Connector for Shopify can’t show which line items were refunded. The Shopify GraphQL API doesn’t let the connector retrieve refund line items inside refunds. This means the Orders / Refunds / Refund line items table can’t be added.

The counts differ because Shopify treats cancellations and refunds differently. A cancellation applies to a whole order. A refund is a separate record. It can cover one line item, some units of a line item, or only an amount. When only an item is refunded, the order stays active and the line item has no cancelled status.

Use these options instead:

  1. Refunds at order level. These include the refunded amount. Use the Orders / Refunds, Orders / Refunds / Total refunded set and Orders / Returns / Refunds tables.

  2. Cancelled orders. Use the cancelledAt and cancelReason fields in the Orders table. To exclude cancelled orders from your count, filter for orders where cancelledAt is blank.

We have a task in our backlog to add the refund line items table. There is no ETA. We check regularly whether new versions of the Shopify API make it possible.
