# Adding a Budget

When you're configuring a Financial Manager project, you need to add a budget to know what your costs are tracking against. You can keep it simple and add a single budget value for your project's timeframe, or you can add budget milestones that show a breakdown of your budget over the project's timeframe.

## Add a Single Budget

1. From the **Projects** page, open the desired project, then click **Configuration** in the upper right so that you're on the **General** page.

2. Enter an amount in the **Budget** field for the entire project. You can update this value at any time.

## Add Budget Milestones

1. Click **Set budget milestones.**

2. For each **Budget Milestone** , enter a budget amount in the field. This value is cumulative, meaning that it must always represent your total budget up to that date. The **Budget** field is automatically filled using the amount from the topmost Budget Milestone and can't be edited inline.

3. Click the **Date** field and select a date. The milestones need to be in chronological order, with the latest date being on top. If you enter a budget milestone with a date that's outside the [++project's timeframe++](https://help.tempo.io/financialmanager/latest/setting-the-project-s-timeframe.md), the milestone is greyed out and not included in the total budget; however, you can still edit that milestone.

4. Optionally add a **Description** to help you understand what each budget milestone means when viewing your project's [**Overview**](https://help.tempo.io/financialmanager/latest/getting-an-overview-of-your-project.md)**.**

5. Click **Add** to add that budget milestone to the list.

6. Click **Remove** to remove a single milestone. If you remove the topmost budget milestone, the milestone below becomes the total **Budget** amount.

7. Click **Revert to a single budget** to stop using budget milestones. This deletes all your **Budget Milestones**data.

### Example of creating a budget milestone

In this example, the total budget for the project is $100,000. It's spread evenly over the project's timeframe with a **Budget Milestone** amount of $25,000 for each quarter. The milestone amounts are cumulative, and the dates are in chronological order from the bottom up.

The **Budget** field is automatically filled using the amount from the topmost Budget Milestone.

# Adding Expenses

You can add expenses to your project and view their breakdown by category directly from the **Expenses** view. The *Actual Expense Total* is also shown in the **Overview** , and when you hover over the total *Actual* costs for a project in the *Project List* on the **Financial Manager** home page, you can also see the project's total expenses.

You can add expenses one at a time and also add fixed recurring monthly expenses for regular expenses, such as a monthly rental or a quarterly subscription. As with a single expense, recurring expenses are actualized on the date the expense is recorded. A recurring expense is prefixed in the list with the recurring symbol.

If you incur billable expenses, you can also [copy them to your revenue](https://help.tempo.io/financialmanager/latest/copying-billable-expenses-to-revenue.md).  
Any future expense or expense outside of the [++timeframe++](https://help.tempo.io/financialmanager/latest/setting-the-project-s-timeframe.md) set for your project is shown in gray.

You can collapse the chart to gain more space on the page to display more rows in the Expense table. Click on the chevron at the bottom of the chart to toggle between expanding it or collapsing it. This setting persists when navigating away from this page.

## Add Project Expenses

Add a single expense or recurring monthly expenses to your project.

1. From the **Projects** page, open the desired project, then click the **Expense** tab in the upper right.

2. Click **Add Expense**to open the form.

3. Enter a **Description** for the expense and the **Amount**. You can enter up to 256 characters in the expense description.

4. Select a **Category** from the list by starting to type in the field. To create a new category, simply enter it in this field.

   Categories are gathered from both expenses and revenue, and are shared among all Financial Manager users on your Jira site. This helps you report on costs and revenue using the same categories. Be sure to check the list before you create a new category to avoid duplicates.

5. If you want to associate this expense with a Tempo account, select an account from the **Account** list. Start typing to see the available accounts. See [Tracking CAPEX/OPEX Accounts](https://help.tempo.io/financialmanager/latest/tracking-capex-opex-accounts.md) for more information.

6. Click the **Date** field to select a date for the expense from the calendar. The current date is shown by default.

## Add a Recurring Expense

1. Enable the **Recurring** switch to display the recurrence options.

2. Enter the frequency for the monthly recurring expense in the **Occurs Every** field. For example, enter a value of 3 for a quarterly expense.

3. The date you entered in the date field above automatically sets the *date* on which a recurring expense is actualized each month.

4. To select the corresponding *day* of the week instead, click the drop-down arrow.

5. Select an **Ends** date option. By default, the recurring expense will end one year after the original date set. You can click the date field to edit the date or select a date from the date-picker. You can also choose to specify the number of times the expense is posted.

6. Click **Add Expense**to add the new expense.

* When an expense occurs late in the month, you may need to select the corresponding 'day of the week' option instead of the actual date. For example, if the date is after the 30th of the month, then a monthly expense will only be posted for months that have 31 days.

* Working with **Tempo Financial Manager** requires the **Tempo Project Manager** global permission.

# Adding Flexible Rates

A project owner can specify different flexible rates for team members at the project level. A **Tempo Rate Administrator** can create flexible cost rates at the [++global level++](https://help.tempo.io/financialmanager/latest/defining-global-rates.md). Multiple rates can be assigned to one team member using *effective dates*.

For example, the cost rates and billing rates might be updated for team members working on a project due to role assessments or changes to the project's scope. The updated rates are listed to track the changes from the start of the project. These rates have an immediate impact on the work log when the effective dates are reached, including cost, billing, and revenue.

## Add a Flexible Rate to a Project

1. In Financial Manager's Project List, [++open a project++](https://help.tempo.io/financialmanager/latest/reviewing-your-projects-at-a-glance.md).

   The **Overview** tab is selected by default.
2. Click the **Configuration** tab in the top-right, then do one of the following:

   - Select **Cost Rates** to add project cost rates.

   - Select **Billing Rates** to add project billing rates. The Billing Rates tab is only available when Revenue Tracking is set for this project.
3. Expand a team member's name to view their rates.

4. Click the **+** at the right end for the team member to add a new rate with an effective date.

   The initial rate is displayed to indicate the rate that was set at the beginning of the project. The initial rate can be derived from the global rate inherited from the assigned role.
5. In the **Add Effective Date** dialog, select an **Effective Date** for the new rate.

6. Enter the **Cost Rate** when selecting the Cost Rates tab and the **Billing Rate** when selecting the Billing Rates tab.

   The **Billing Rate**tab is available only when Revenue Tracking is set for the project.

7. Click **Save** when done.

The new flexible rate is added to the list of rates. When the **Effective Date** is reached, the rate is labeled **Current** in the list.

Click the Team tab to see the effect of the current rates on the costs and revenues. The flexible rates are applied to each worklog where the start date is matched and is effective on the worklog's date.

### Edit a Project's Flexible Rates

Team members' names in the collapsed **Cost Rates** or **Billing Rates** tables are displayed with the current rate that corresponds to either the initial rate or the flexible rates that are currently in effect based on their effective date. You can expand the tables to make the required edits.

1. Click to expand the team member name in the **Cost Rates** or the **Billing Rates**table and view the list of rates.

2. To change the **Effective dates** :

   - Select a flexible rate in the list and click in the Date column to reassign an effective date.
3. To make inline changes to the **Cost rates** or the **Billing rates**:

   * Click on the rate in the Cost Rate column to edit it.

     If the value is left empty, then the Hourly Cost Rate is used.
   * Click on the rate in the Billing Rate column to edit it.

     If the value is left empty, then the Hourly Billing Rate is considered.

Scroll down the list of rates to make any additional changes.

### Delete Flexible Rates for a Project

Unused flexible rates can be deleted for team members, and their worklogs are immediately adjusted based on effective dates.

If the **Current** rate is deleted, then the team member's worklogs are adjusted as follows:

* If there is more than one rate, then the worklogs are calculated based on a rate with a previous effective date.

* If there are no other rates, then the worklogs are calculated based on the **Initial** rate.

* If no **Initial** rates were set for the team member, then the worklogs are calculated based on the **Hourly Cost Rate** set for the [++project++](https://help.tempo.io/financialmanager/latest/creating-a-financial-manager-project.md).

The Initial rate cannot be deleted.

**To delete a flexible rate:**

1. Expand the rates for a team member.

2. Click the delete icon on the right-hand side of the rate you wish to delete. You are prompted to confirm that you want to delete the rate.

The rate is deleted from the list, and the team member's worklogs are adjusted.

Click the Team tab to see the effect of the deleted rates on the project worklog for this team member.

# Adding Revenue

You can add fixed revenue amounts to your project and view their breakdown by category directly from the **Revenue** view. The *Actual Revenue* and *Projected Revenue* are shown in the **Overview**. The side panel on the Overview also displays both actual and projected profits, and the project's progress.

You can add revenue one at a time or add fixed recurring monthly revenue. All revenue is actualized on the date the revenue is recorded. Recurring revenue is prefixed in the list with the recurring symbol.

If you incur billable expenses, you can also [copy them to your revenue](https://help.tempo.io/financialmanager/latest/copying-billable-expenses-to-revenue.md).

# Adding Team Roles

Adding and editing team roles requires the [**Tempo Administrator**](https://help.tempo.io/timesheets/latest/jira-administrator-permissions.md) or [**Tempo Team Administrator**](https://help.tempo.io/timesheets/latest/tempo-team-permissions.md) permission.

A **role** describes the job done by a member of a Tempo Team or an individual working on a Financial Manager project. By default, all team members are assigned the *Member* role, but you can assign roles such as *Developer* , *Product Owner* , *Scrum Master* , *UX Designer*, etc., to individual team members as needed.

To give you the flexibility you need, Tempo allows you to create new team roles and edit existing ones, as well as decide which role should be the default.  
Deleting a role or changing the default role can impact project costs and revenue calculations as rates are assigned to roles. [Learn more](https://help.tempo.io/financialmanager/latest/assigning-team-roles.md)

**To add a team role:**

1. Select **Settings** in the Tempo sidebar.

2. In the sidebar under **Staff** , select**Roles**.

3. Click **+ New Team Role**, enter the name of the role, and save the role.

The default team role is flagged. Use the **...** menu to do the following:

* Set any role as the default.

* Edit the role name

* Delete the role. All team members assigned to this role will be assigned to the *default* team role instead.

# Approving or Rejecting Logged Project Hours

Tempo Timesheets is required to enable Project Time Approval. Click [here](https://marketplace.atlassian.com/apps/6572/timesheets-by-tempo-jira-time-tracking?hosting=cloud&tab=overview) for a free trial of Timesheets.

Approving or rejecting project time only validates the time spent on Tempo projects. It has no impact on Tempo Timesheet's approved or rejected hours. Email notifications are sent to the user when their project time has been approved or rejected.

If users resubmit their hours after their timesheet was rejected outside the project, all project time are reset to the **Waiting for Approval**status. Notification emails are resent to project time approvers.

## Before You Begin

* **Project Time Approval** must be enabled in **Tempo Settings** by a Tempo Project Administrator.

* A Tempo Project Administrator must [++enable++](https://help.tempo.io/financialmanager/latest/approving-project-hours.md) the **Project Time Approval**feature for their project.

## Reviewing Project Time Submitted For Approval

As a project time approver, you can monitor the hours logged on your project and approve them as they are submitted. You receive email requests to approve the project time.  
* Financial Manager uses the same [++period configuration++](https://help.tempo.io/timesheets/latest/configuring-timesheet-periods-for-approvals.md) as Tempo Timesheets. No additional period setting is required for Financial Manager projects.

* You can also view all your approvals in **My Work** **\> Approvals**. This includes timesheets and project time.

1. Select the Tempo project that your team is working on.

2. Do one of the following:

   1. Click the **Approvals** tab.

   2. Click the **Review Project Hours** button in the email request to approve team members' hours.

3. A list of project time is displayed by **Status** for team members who have logged more than 0 hours in the selected period. Status is set to **All** by default:

   * If hours that are related to this project are not submitted, they have the **Open** status.

   * If hours are submitted, then they are placed in the **Waiting for Approval** status.

   * All other hours will show in the **Approved** or the **Rejected** status.

4. If you wish to view other periods, scroll through the date range:

   * To find the project's Start date, scroll to the oldest period.

   * To find the project's End date, scroll to the last period.

5. Click **Status: All** or select to filter by a status from the list.

   The submitted hours are displayed with the following details:

Hover over the asterisk to view how many worklogs were modified and the number of hours changed. If project time is rejected, the user must resubmit their timesheet with the amended project time. |
| **Planned Time**   | The planned time for the team members. 7. Open the **Approvals** tab to return to the approvals list to continue to [++approve++](#) or reject the submitted hours.

## Approving Your Team's Submitted Project Time

1. Open the **Approvals** tab and verify the items in the **Waiting for Approval**status.

2. Select the row you wish to review for members with submitted project time.

3. If you wish to see a breakdown of the hours:

   1. Click on the name in the **Tempo member** column or the **Time spent**value to view the hours in a timesheet view.

   2. Click the **Approvals** tab when done.

4. Click **Approve** to approve the selected row.

5. In the **Approve Logged Time for Project** window, enter a message in the **Comment** box if needed.

6. Click the **Approve Logged Time** to approve the hours.

7. The approved hours are moved to the **Approved** status under the **Project Time Approved** table.

   The submitted hours are updated with the **Approved** status.
8. Scroll down to the Approved section to see a list of the hours you approved or filter with **Status: Approved**to see Approved items only.

9. Hover over a row in the **Approved** table to see a tooltip containing the date and timestamp of the approval and the comment that was added by you, the reviewer.

## Rejecting Your Team's Submitted Project Time

1. Open the **Approvals** tab and verify the items in the **Waiting for Approval**status.

2. Select the row you wish to review for members with submitted project time.

3. If you wish to see a breakdown of the hours:

   1. Click on the name in the **Team member** column or the **Time spent**value to view the hours in a timesheet view.

   2. Click the **Approvals** tab when done.

4. Click **Reject** to reject the selected hours.

5. In the **Reject Logged Time for Project** window, enter a message in the **Comment** box if needed and click the **Reject Logged Time** to reject the hours.

   The rejected hours are moved to the **Rejected** status under **Project Time Rejected**.

6. Scroll down to the **Rejected** section to see a list of the hours you rejected. Hover over the rows to see a tooltip containing the date and timestamp of the rejected hours and the reviewer's comment that you added.

Once rejected, the user can modify the project time and resubmit their timesheet.

## Approving or Rejecting Multiple Requests

You can make multiple selections of submitted hours for multiple members or select all submitted requests before approving or rejecting all.

1. You can approve all submitted hours at the same time. View the list in the Waiting for Approval status.

2. Scroll down to the Waiting for Approval list or filter by selecting **Filter: Waiting for approval**.

   This filters the page and displays items in this status only.
3. To select all rows, add a checkmark to select **Project Time Waiting for Approval (#).**

   This selects all rows. The **(#)**indicates the number of rows filtered in this selection.
4. To select individual rows, add a checkmark in front of each row that you wish to approve.

5. Do the following to approve the selections:

   1. Click **Approve (#)** to approve them.

      The (#) indicates the number of selected rows to approve.
   2. A list of **Team member** names with the **Logged Time** is shown. You can remove rows from the list by clicking the Remove **(X)**button.

   3. In the **Approve Logged Time for Project** window, enter a message in the **Comment** box if needed.

      The text in the **Comment** will be repeated for all hours approved here.
   4. Click the **Approve Logged Time** to approve all selected hours.

6. Do the following to reject the selections:

   1. Click **Reject (#)**to reject them.

      The (#) indicates the number of selected rows to reject.
   2. A list of Team of **Team member** names with the **Logged Time** is shown. You can remove rows from the list by clicking the Remove **(X)**button.

   3. In the **Reject Logged Time For Project** window, enter a message in the **Comment** box if needed.

      The text in the **Comment** will be repeated for all hours rejected here.
   4. Click the **Reject Logged Time** to reject all selected hours.

# Enable Project Time Approval

Tempo Timesheets is required to enable Project Time Approval. Click [here](https://marketplace.atlassian.com/apps/6572/timesheets-by-tempo-jira-time-tracking?hosting=cloud&tab=overview) for a free trial of Timesheets.

Project time approvers can verify and approve *project time* - the hours worked by team members on the project - directly in Financial Manager or through Timesheet's [My Work section](https://help.tempo.io/timesheets/latest/approving-or-rejecting-timesheets.md). Project time approval doesn't impact time tracking or billing in other apps, such as Timesheets.

This allows project time approvers and team leaders to ensure that only time spent on their project is counted.

To approve project hours in Financial Manager:

1. Enable Project Time Approval in **Tempo Settings** for the organization.

2. Enable it for individual Financial Manager projects.

## Project Time Approvers

By default, a project owner is a project time approver. For any additional team members added to your project to approve time, **Project Time Approval** must be enabled both for the organization and for the project (see below), and the team member must have the [**Viewer** permission or higher](https://help.tempo.io/financialmanager/latest/sharing-financial-manager-projects.md).

When a team member submits their project time for approval, the default approver is selected automatically, but the team member can submit their project time to any approver for the project.

## Enable Project Time Approval for the Organization in Tempo Settings

You must first enable Project Time Approval for all Financial Manager projects. After it's enabled, the option is visible and available to all projects.

1. Navigate to **Settings**.

2. Under the **Tempo Projects** section, select **Project Features**.

3. Toggle **Enable Project Time Approval.**

Financial Manager project owners can now view and enable Project Time Approval for their projects.

## Enable Project Time Approval for Projects

If the **Project Time Approval** option is not visible in your project's configuration, it must first be [enabled in Tempo Settings](https://help.tempo.io/financialmanager/latest/approving-project-hours#EnableProjectTimeApproval-EnableProjectTimeApprovalfortheOrganizationinTempoSettings) for your organization.  
You can enable Project Time Approval for projects by [default](https://help.tempo.io/financialmanager/latest/setting-a-default-project-configuration.md) in Tempo Settings.

1. In **Financial Manager,**select the project for which you want to approve project hours.

2. Click on the **Configuration** tab.

3. In the **General** section, scroll down to the **Project Time Approval**

4. Toggle **Project Time Approval**.

   A confirmation message notifies you that the feature is enabled.

5. Optionally, select additional project time approvers. You can also choose a different **Default Approver** by hovering over the approver name.

Project time approvers can only be added one at a time from the user interface. To add multiple project time approvers in bulk, you can use [this API](https://apidocs.tempo.io/#tag/Project-Time-Approval/operation/addProjectTimeApprovers).

6. The **Approvals** tab in the top right is added to your Tempo project. Click the tab to access the project time approval workflow.

### Disable Project Time Approval for Projects

When you disable **Project Time Approval** for a project or organization, approval data is no longer visible.

If **Project Time Approval** is disabled on the organization level, the option is not available to Financial Manager projects, and the **Approvals** tab is hidden.

# Assigning Team Roles to Team Members

Financial Manager uses the list of roles defined for your organization to calculate project costs or revenue. Each role has an assigned cost or billing rate. When you assign a team member to a role, the [rate](https://help.tempo.io/financialmanager/latest/setting-project-cost-rates-and-billing-rates.md) applied to the role is used when that team member works on a project. If you change the team member's role, modify the role's cost or billing rate, modify an applied global rate, or delete a role assigned to a team member, you can impact your project's costs or revenue.

## Impacts of Team Role Changes on Project Costs or Revenues

If your project is monetary-based, roles can have a cost or billing rate applied to them.

* When a team member who has worked on a project changes roles, the assigned role rate can be different. The new role rate will be used for both historical project data and any future work.

* If a role that has been assigned to team members is deleted, the team members are assigned to the default role. If the default role has a different rate, the new default role rate will be used for both historical project data and any future work.

## Default Roles

Team roles in Financial Manager are assigned at the Tempo project level as they can differ between projects. If a team member is not assigned a team role in your project, Financial Manager uses the last team role assigned to the team member. This can be the *member* role or a custom role.

For example, if Tina Johnson was part of the Helios project using a *developer* role, then the next time she's added to a project, her default role is *developer* until assigned a specific team role.

If a team member has never been explicitly assigned a team role, then the default *member* role is used.

## Before You Begin

* To access the [Team Roles](https://help.tempo.io/timesheets/latest/adding-team-roles.md) page in **Tempo Settings** , you need the [Jira Administrator](https://help.tempo.io/timesheets/latest/jira-administrator-permissions.md) permissions or the [Tempo Team Administrator](https://help.tempo.io/timesheets/latest/global-permissions.md) permission.

* Team roles must be defined in **Tempo Settings** before you can assign the roles to your team members.

* You can add, edit, and delete team roles, as well as specify the default role for your organization from the **Tempo Settings \> Team Roles** page.

## Assign a Role to Your Project Team Members

1. Open a Financial Manager project.

2. Click **Configuration** in the upper right.

3. Select **Members \& Roles** in the left panel.

4. Select a role from the drop-down list for the individual team member.

   The last role used for any user in a project is considered a preferred role. When the same user is added to another project, the 'preferred role' is automatically selected.

If you do not assign a role, the default role for your organization is applied -- the default Tempo role is *member*.

4. To change the role of the team member, select a role from the list in the **Role** column.

   The role is changed for this team member.
5. You are prompted to apply the global rates that are assigned to this role or to opt-out and continue using the existing rates.

   * If you want to apply the global rate and any global effective rate, click on **Apply Global Rates**. This replaces any previously defined rates for this team member.

   * If you do not want to apply the global rate, close the notification. This gives you the option of changing the role of the team members and keeping the rates that were previously defined without applying the Global Rates for the selected role.

### Deleted roles

If a role is deleted but is still assigned to the team member, the team member reverts to the default role and its rate. An icon next to the team member's name notifies you that the role was deleted. The assigned default role is greyed out temporarily until you select the appropriate role for the team member.

# Automatically Sync Your Project Scope

Save time and effort by automatically syncing your project scope with the Jira filter or structure used to create the project. You can view updated scope and labor costs without manually syncing your projects. This allows your Financial Manager project to more accurately reflect the status of your project based on new work performed or planned for the project.  
When Jira spaces are used for the scope of your Financial Manager project, you do not need to set up a sync schedule - the scope will automatically update whenever new work items are created within the Jira space.

## Before You Begin

* You can automatically sync projects that are **In Planning** or **In Progress**.

* The project scope sync begins around midnight in the timezone of the person who enables auto-sync scope in the project.

* If a project is **On Hold** or **Completed** and Auto-Sync Scope is not enabled, the **Auto-Sync Scope** option is not displayed on the General Settings page.

## Project Scope Sync Schedules

Projects can be synced **daily** or **weekly** between midnight and 2:00 AM (00:00-02:00).

* **Daily** - [Scope Sync](https://help.tempo.io/financialmanager/latest/updating-a-project-scope-sync-scope.md) is scheduled to occur Monday through Friday in the timezone of the person who enables auto-sync scope in the project. If you need to capture changes that occurred on Friday, either run a manual scope sync on Friday or wait for the Monday sync.

* **Weekly** - [Scope Sync](https://help.tempo.io/financialmanager/latest/updating-a-project-scope-sync-scope.md) is scheduled to occur weekly on Sunday.

The last time a project was synced is listed in the [Project List](https://help.tempo.io/financialmanager/latest/reviewing-your-projects-at-a-glance.md).

Projects with auto-sync scope enabled have a calendar icon in front of the last sync date. You can view the next scheduled sync if you hover over the icon.

If you manually sync the project, the Project List shows the manual sync, and the auto-sync occurs as scheduled.

### Skipped Scope Syncs

The automatic project scope sync only occurs when the scope has changed. If the number of tasks in a project hasn't changed from the last sync, the sync does not occur, and the **Last sync** date does not change.

## Set your project to sync the project scope automatically

1. Navigate to **Financial Manager**.

2. Open a project and click **Configuration** .

   You can also open this from the **Scope** menu in the **Scope** tab.

3. In **General**, select how frequently you want the project scope to sync with Jira or Structure.

   1. **Daily** - Scope Sync is scheduled to occur Monday through Friday between midnight and 2:00 AM (00:00-02:00) in the timezone of the person who enables auto-sync scope in the project.

   2. **Weekly** - Scope Sync is scheduled to occur weekly on Sunday between midnight and 2:00 AM UTC (00:00-02:00).

   3. **Off** - Scope Sync only occurs when you manually sync your project scope.

The project now has a calendar icon in front of the last sync date. You can view the next scheduled sync if you hover over the icon.

# Broken JQL Filter Finder

After upgrading to Jira's Forge platform, some saved JQL filters may no longer work as expected because of the [new JQL filter syntax](https://help.tempo.io/financialmanager/latest/expected-changes-in-financial-manager-on-forge.md#New-JQL-Filter-Syntax). The Broken JQL Filter Finder helps you quickly identify and review any filters that contain invalid JQL by scanning your filters and highlighting the ones that need attention, so you don't have to track them down manually.  
The Broken JQL Filter Finder will locate **all**broken JQL filters, not just those affected by the Forge migration.  
**For Jira administrators** : As a Jira admin, you can also view Private filters. This feature uses [overrideSharePermissions](https://developer.atlassian.com/cloud/jira/platform/rest/v2/api-group-filters/#api-rest-api-2-filter-id-get-request), an experimental flag available to users with *Administer Jira*global permissions that overrides share permissions to enable filters to return any share permissions.

## **What This Tool Does**

The Broken JQL Filter Finder:

* Finds filters that contain invalid or broken JQL

* Displays a list of affected filters in one place

* Provides direct links so you can open and update each filter

* (Where available) shows error details to help you understand what needs to be fixed

Depending on your permissions, the finder will display either only the filters you own or all filters you have access to. For larger Jira instances, a large number of filters may be displayed, but results are returned quickly and only include filters that require attention.

**To access and use the Broken JQL Filter Finder:**

1. Select Settings in the Tempo sidebar.

2. Under **Forge Migration** , select **Broken JQL Filter Finder**.

3. Select a filter from the list to open it on a new page in Jira, where you'll see any errors along with the broken filter. From there, you can make any edits you need.

# Changing the Project Scope

If you are the *Project Owner*, you can change the Jira filter or structure you are using to define the project scope. This is especially useful if you've imported the wrong one.

When you change the project scope, you are *only* switching the Jira filter, structure, Jira space selection, or Jira epic selection.

* You retain any groupings you created to define the project.

* If the new scope you select includes any of the same work items, they are automatically grouped as they were originally.

You can also switch between scopes.

## Change the Project Scope

1. Select **Change Scope** from the **Scope** drop-down located at the top-right.

2. Select how you want to import work items from Jira:

   1. **Jira Filter** - Use this option when you want to use a JQL query to curate the work items to track. You can select a preexisting Jira filter or create a new one.

   2. **Structure** - Use this option when you have created a [structure](https://help.tempo.io/financialmanager/latest/integrating-structure-data-into-financial-manager-projects.md) with the work items you want to track.

   3. **Jira Spaces** - Use this option when you want to track all the work done in specific Jira spaces. You can select multiple Jira spaces; however, Financial Manager can report on up to 10,000 work items.

   4. **Epics** - Use this option when you want to track specific Jira epics.

3. Search or select items, select them from the list, and click **Apply** .

   If you selected a Jira Filter, your favorite filters appear at the top of the list in alphabetical order. All other filters are ordered alphabetically.

The list displays only the Jira filters, structures, Jira spaces, and Jira epics you can access.

Financial Manager projects are calculated based on logged time and planned time in Tempo, providing actual and projected metrics in a granular view that demonstrates how projects are performing and how much they are costing.

This enables project managers to monitor the current progress and future projections by comparing actual KPIs versus projected KPIs, and to adjust any present or future costs to stay within the allocated budgets.  
Plans with Generic Resources are not supported in Capacity Planner integration and forecasting.

## A Project Cost Management Overview

The project **Overview** presents the current KPIs and the projected KPIs that aim to monitor the progress of the projects. The project timeframe covers the dates for all worklogs and planned tasks for the project.

When importing project data, all logged time and planned time is imported for the selected Jira filter. For calculated timeframes, the date range considers the dates covering both the actual data and the projected data. Actual data signifies time logged against project tasks, and projected data signifies time planned against upcoming tasks.

For Time-based projects, similar KPIs are displayed in Time units per minute; however, only time-based related metrics are shown.

**To compare the project overview KPIs:**

1. Select a project.

2. Click the **Overview** tab.

3. Hover over the chart to read the breakdown.

The Overview chart is divided into two parts separating the Actual data from the Projected data. The legends and tooltips can help identify the differences.

| Projected Revenue (Requires Capacity Planner) | The total revenue (based on logged time) plus the total remaining revenue (based on planned time), shown as a purple, dashed line.                                                       |
| Budget Remaining                              | The budget minus the total cost.                                                                                                                                                         |
| Labor                                         | The number of hours logged by team members at the defined rate, shown in dark blue color.                                                                                                |

## Comparing the Project Scope KPIs

The project scope presents the project's actual and projected labor costs. The scope's timeframe is automatically generated based on the actual logged hours that the project team members have logged, and on their planned time for upcoming tasks. The logged time and planned tasks are related to the work items in the project.

**To compare the project scope KPIs:**

1. Select a project.

2. Click the **Scope** tab.

If there are changes made to the holiday scheme or the workload scheme, then the plans are updated in Tempo Planner which automatically updates the projected labor and projected revenue for the Financial Manager projects.

| Total Remaining Revenue | The revenue based on the number of planned hours and the remaining time after the current date and until the end of the time period within the charted timeframe, by project team members at the defined billing rate. |

## Comparing the Project Team KPIs

Team members are added to the project when time is logged, or when plans are assigned, within the scope of the project.

The **Team** chart represents the project team's labor cost for the actual time spent, and the projected labor cost for the remaining time. The remaining time, cost, and revenue are calculated based on the planned time that remains after today's date within the timeframe for the project.  
Tempo Project Viewers have limited insight to team information.

**To compare the project team KPIs:**

1. Select a project.

2. Click the **Team** tab.

3. Hover over the chart to see the percentage of labor time, cost, and revenue for actual and planned tasks.

# Comparing CAPEX and OPEX Accounts

In the **Overview** tab of a Financial Manager project, the calculated costs are represented in a bar that shows the comparison between the CAPEX versus the OPEX amounts for the project. An overview of the accumulated expenses are split by category and a breakdown of the accounts that contributed to these results are shown.

**To compare the CAPEX and OPEX accounts:**

1. Open a project in Financial Manager.

2. In the **Overview** tab, the **Accounts** side panel on the right displays a **CAPEX vs. OPEX** bar.

   If the project includes time logged to accounts that are of Capitalized (**CAPEX** ) or Operational (**OPEX**) types, the calculated costs are displayed for each account type on the bar.

3. Click either the **CAPEX** or **OPEX** link below the bar to drill down into the details of the related accounts for each account type.

4. The total hours logged and calculated amounts are shown to correspond with the total amount for each account. Hover over the account name to reveal the Account key, Customer, and other information:

   * The list of accounts names is displayed. This corresponds to the time logged to the Jira work items with an associated account that is of Capitalized or Operational type.

   * The breakdown is sorted by amounts in descending order (1st sort order), then by account name alphabetically (2nd sort order).

   * The amounts are the sum of actual costs from labor and expenses that are associated to each account.

   * Total time spent is displayed for each account type and the breakdown of time spent is displayed for each account.

     Unlike costs, expenses do not have corresponding number of logged hours associated to them. If an account is associated with expenses only in a project without any additional costs with logged hours, then the account summary will not show any total hours against the sum of expenses.
5. Click the the **\<** arrow at the top of the panel to go back and select the other account type.

   Calculated costs are based on the logged hours for the assigned user under this account type, calculated by the rate and any other flexible rates that might have been applied. If rates are not defined then the default global rate is used.
6. **Uncategorized** displays the total actual costs for the logged hours in a Financial Manager project that are not associated to any accounts, or are associated to accounts that are neither CAPEX nor OPEX. Click on the information icon to learn how to setup CAPEX and OPEX accounts.

7. If you change a worklog account and associate it to Capitalized or Operational type account, the changes are immediately reflected in the the total **Uncategorized** accounts and added to the account totals where applicable.

# Comparing Planned Hours Versus Actual Hours

Before approving project hours for team members, you can compare the submitted project hours to the planned hours allocated in Tempo Planner. The planned hours are retrieved based on the project scope for the selected approval period in Financial Manager.

Planned hours are shown if members were allocated planned hours in Tempo Planner for the scope of the project during the selected timeline.

Planned hours are not displayed if no planned hours are allocated or if Tempo Planner is not accessible. The appropriate notification is displayed if Tempo Planner is uninstalled or unlicensed. Another notification is displayed if you don't have permission to access it.

## Before You Begin

* If you want to compare planned hours to actual hours, you must have [Tempo Planner](https://marketplace.atlassian.com/apps/1211881/capacity-planner-jira-team-resource-management-tempo?hosting=cloud&tab=overview) installed.

* An administrator must grant you permission to access Tempo Planner in Jira **Settings \> System \> Global Permissions** . Select [++Tempo Planner Access++](https://help.tempo.io/timesheets/latest/global-permissions.md) and grant it to the group that you belong to. You can also be added to an existing Jira group that has this permission.

## Compare Planned Hours

To assist project owners during the time approval process, planned hours are shown to provide a comparison with actual hours. As a project owner, you can view the time spent by your team members next to the planned time of the same project within the approval period.

For example, a team member worked 30 hours on a project but was planned to work 40 hours for this month. Before approving the hours, a project owner can question the difference in hours and the reasons for logging fewer hours than what was planned.

# Adding Metadata for Findability

Project managers can add *project attributes* , or metadata created by Tempo Project Administrators, to their projects to organize, filter, and sort them. For example, a Tempo project administrator can create a **Priority** project attribute, and then a Financial Manager project manager can add the**Priority** attribute to their project. The project can then be sorted by **priority**, so high-priority projects appear at the top of the project list.

* Filter the project list using a project field or a project attribute field. Only the fields with single-choice data types appear in the filter. Click the **Filter** box and select a choice for the field or project attribute you are selecting.

* Sort the project fields or project attributes in ascending or descending order.

Project attributes must be defined by a Tempo Project Administrator at the global level in **Tempo Settings** before the attribute is added to a Financial Manager project.

When you view projects in Financial Manager, the project metadata is listed for all projects in the project list. Only project attributes that are used by a Financial Manager project appear in the list. The sum of any amount type fields is calculated and displayed at the bottom of the Project List table.

Project attributes are added in two different procedures:

1. Define project attributes in **Tempo Settings** for the organization.

2. Add project attributes to individual Financial Manager projects.

## Define Tempo Project Attributes for the Organization

1. Navigate to **Settings**.

2. In the **Tempo Projects** section, click **Project Attributes**.

3. Click the **+ New Project Attribute**.

   The New Project Attribute window opens.
4. Enter the **Name** of the attribute. Attributes are displayed in the Project List in alphabetical order.

5. Select a **Type**:

   * **Amount** - Project managers can enter up to 16digits, formatted to 2 decimal points.

   * **Date** - Project managers can select a date, formatted per your date preference.

   * **Number** - Project managers can enter up to 16 digits.

   * **Select List (single choice)** - Project managers can select a value from a list.

   * **Text (single line)** - Project managers can enter text in a text field.

   * **User (single user)** - Project managers can select a user from a list of users.

6. If you selected a **Select List (single choice)** , add the list values in **Options** . These values appear in the drop-down list. You can enter up to 50 characters per value.

   You can drag the values into different positions in the list, change the values, or remove them.

7. Click **Save**.

You can add up to ten project attributes. Attributes are available to Financial Manager projects.

When you view the project attributes list, you can see how many projects use the attributes, edit the attributes, and delete them.

### Delete a Project Attribute

Delete a project attribute from the **Project Attributes** page in **Tempo Settings**. If the project attribute is currently used in existing projects, a confirmation message notifies you of the number of projects that currently have a value set for the attribute.

The data stored in the projects with this attribute is permanently deleted.

## Add Metadata to Your Project

1. Open a Financial Manager project.

2. Click the **Configuration** tab.

3. Click **Project Attributes** in the left panel.

4. If the Project Attributes page is empty, contact your Tempo Administrator to define the attributes that you wish to add to your projects.

5. Enter the values for each attribute.

This metadata is now included in the Project list table. You're now able to organize your projects based on this additional project data.

# Configuring Your Financial Manager Project

When you [open a Financial Manager project](https://help.tempo.io/financialmanager/latest/reviewing-your-projects-at-a-glance.md), you can configure and modify your project settings in the **Configuration** tab.

Tempo Project Roles:

You can immediately configure your Financial Manager project when you create it by using the **Create \& Configure** option in the Create Project form.

If you or your colleagues frequently use similar settings for your projects, a Tempo Project Administrator can configure [default project settings](https://help.tempo.io/financialmanager/latest/setting-a-default-project-configuration.md) that will be used to populate the **Create Project** form.

The following configuration options are available:

* **General** - Set and modify basic project settings, including a budget.

* **Members \& Roles** - [Assign roles](https://help.tempo.io/financialmanager/latest/assigning-team-roles.md) to project team members.

* **Project Time Approval** - [Enable project time approvals](https://help.tempo.io/financialmanager/latest/approving-project-hours.md) and select approvers.

* **Project Attributes** - Populate your projects' [metadata](https://help.tempo.io/financialmanager/latest/configuring-project-attributes.md).

* **Sharing** - [Share your project](https://help.tempo.io/financialmanager/latest/sharing-financial-manager-projects.md) with one or more collaborators.

* **Cost Rates** - Set [hourly cost rates](https://help.tempo.io/financialmanager/latest/setting-project-cost-rates-and-billing-rates.md)for team members. This is unrelated to [Global Rates](https://help.tempo.io/financialmanager/latest/defining-global-rates.md).

* **Billing Rates** - Set [hourly billing rates](https://help.tempo.io/financialmanager/latest/setting-project-cost-rates-and-billing-rates.md) for team members. This section is available when revenue tracking is enabled from the **General** settings.

## General Settings

Configure your project settings - including budgets, currency, timeframe, and status - or delete the project.

* **Name**: Update the project's name.

* **Timeframe** : [Set a fixed timeframe](https://help.tempo.io/financialmanager/latest/setting-the-project-s-timeframe.md) for your project instead of the timeframe that is calculated automatically from time logged to work items within the project Scope.

* **Project Status** : Select the project [status](https://help.tempo.io/financialmanager/latest/reviewing-your-projects-at-a-glance.md). By default, all project statuses are set as **In Planning**. You can also modify the project status on the Financial Manager home page.

* **Project Type:** The type of project is set when creating a project. It can be **Monetary-based** , where projects are calculated based on hourly rates, or**Time-based** , where projects are calculated based on labor hours. A Tempo Administrator can set a [default project type](https://help.tempo.io/financialmanager/latest/setting-a-default-project-configuration.md).

* **Project Currency** : The default currency is set to USD \[United States Dollar ($)\] but can be [modified by a Tempo Administrator](https://help.tempo.io/financialmanager/latest/setting-a-default-project-configuration.md). Click the field to select the desired currency from the list. The selected currency is applied to all costs and expenses in your Financial Manager project. You can only use one currency in a project.

* **Budget** : Set a [single budget](https://help.tempo.io/financialmanager/latest/adding-a-budget.md) or set [budget milestones](https://help.tempo.io/financialmanager/latest/adding-a-budget.md).

* **Revenue Tracking** : Track a [project's profitability](https://help.tempo.io/financialmanager/latest/tracking-a-project-s-revenue.md). A Tempo Administrator can enable revenue tracking by [default](https://help.tempo.io/financialmanager/latest/setting-a-default-project-configuration.md).

  * When **Revenue Tracking** is enabled for a **Monetary-based** project, you can select [**Fixed Price Project**](https://help.tempo.io/financialmanager/latest/creating-a-fixed-price-project.md). This removes Billing Rates and labor revenue tracking.

* **Auto-Sync Scope** : [Sync your project scope](https://help.tempo.io/financialmanager/latest/automatically-sync-your-project-scope.md)with Jira or [Structure](https://help.tempo.io/financialmanager/latest/integrating-structure-data-into-financial-manager-projects.md) automatically on a daily or weekly basis. If a project's status is *On Hold* or *Completed* and Auto-Sync Scope is Off, this option is not displayed on the General Settings page. A Tempo Administrator can [set a default](https://help.tempo.io/financialmanager/latest/setting-a-default-project-configuration.md) auto-sync scope schedule. *NOTE: This option will not be displayed if you selected a Jira space for your scope. Instead, the project scope will automatically update whenever new work items are created in the Jira space.*

* **Tags** : Add [keywords](https://help.tempo.io/financialmanager/latest/organize-multiple-projects.md) to your project so you can filter and find your projects more easily.

* **Delete Project** : Remove a [Financial Manager Project](https://help.tempo.io/financialmanager/latest/creating-a-financial-manager-project.md).

# Copying Billable Expenses to Revenue

When you incur expenses that you bill to your client, you can copy the expense to the **Revenue** page. The billable expenses are then included in revenue calculations. We don't maintain a link between the expense and the revenue. If you edit the expense after copying it, you must also make the change in the **Revenue** page.

1. Open a Financial Manager project.

2. Click the **Expenses** tab in the upper-right corner.

3. In the **Expenses** table, select the row you would like to copy and click the (...) under **Actions.**

4. Select **Copy to Revenue**.

5. Make any changes you want to the billable expense. The expense will be included in revenue calculations on the Revenue page.

# Creating a Financial Manager Project

Create a project in Tempo Financial Manager to track costs and revenue on a specific collection of work items, defined by a *scope* . A scope is created from a Jira filter, a [structure](https://help.tempo.io/financialmanager/latest/integrating-structure-data-into-financial-manager-projects.md), Jira spaces, or Jira epics.

By default, you are set as the *Project Owner* of each Financial Manager project you create. You can [++share a project with others++](https://help.tempo.io/financialmanager/latest/sharing-financial-manager-projects.md) or [++transfer the Project Owner role++](https://help.tempo.io/financialmanager/latest/transferring-project-ownership.md) to another person. However, only a Project Owner can modify the project scope by changing the Jira filter. The individuals with whom you've shared the project can modify everything else.

If you log time for a future date, that time is not included in your current tracked costs. Costs are actualized when they occur.

In Financial Manager, projects can be created based on a currency that calculates hourly rates or can be based on time that calculates hours worked.

You can create your projects as **Monetary-based** or **Time-based**. Monetary-based projects calculate costs, revenue, and budgets on hourly rates using a selected currency. Time-based projects calculate costs, revenue, and budget using labor hours.

To create a [fixed price project](https://help.tempo.io/financialmanager/latest/creating-a-fixed-price-project.md) , you must use a **Monetary-based** project with Revenue Tracking enabled.

For enterprises that operate on a budget per hour, a Time-based project can help you track the tasks and the project metrics per labor hours.

## Before You Begin

* Decide which Jira work items you want to include in your **Tempo Financial Manager** project.

  * A project can't initially include more than 10,000 work items.

* If you want to use a structure to define the scope of your project, you must have [Structure by Tempo](https://marketplace.atlassian.com/apps/34717/structure-by-tempo-jira-portfolio-management-ppm?tab=overview&hosting=cloud) installed and the[Connect to Structure app](https://help.tempo.io/financialmanager/latest/integrating-structure-data-into-financial-manager-projects.md) installed.

  * To use a structure as the project scope, you must have **View** access to the structure.

## Create a Tempo Project in Financial Manager

All fields are optional. You can simply create an empty project using default values, and *New Project* is added to the project list on the **Financial Manager** home page. You can set your scope and configure your project settings at any time.

If a Tempo Project Administrator has set a [default project configuration](https://help.tempo.io/financialmanager/latest/setting-a-default-project-configuration.md), some fields already have a value. You can change these fields to meet the needs of the project you're creating.

1. In your Jira instance, click **Apps** and then **Tempo**.

2. From the **Tempo** sidebar, open **Financial Manager**.

3. Click **Create Tempo Project** in the upper right to open the **Create Tempo Project** form.

4. Enter a **Name** for your project. You can use any UTF-8 character, including emojis.

5. Click the **Scope** field to set your project scope.

   * **Jira Filter** - Use this option when you want to use a JQL query to curate the work items to track. You can select a preexisting Jira filter or create a new one.

     Your starred filters appear at the top of the list in alphabetical order. Your other filters are ordered alphabetically afterward.

   * **Structure** - Use this option when you have created a [structure](https://help.tempo.io/financialmanager/latest/integrating-structure-data-into-financial-manager-projects.md) with the work items you want to track. This option is most useful when you have multiple projects or teams working on the same initiative or in the same cost center.

     If structures aren't available and the [**Connect to Structure** app](/financialmanager/latest/integrating-structure-data-into-financial-manager-projects.md) is correctly installed, ensure that you've created a structure or have permission to view the structure.

   * **Jira Spaces** - Use this option when you want to track all the work done in specific Jira spaces or if you want a quick, broad overview of a space's budget. *When using a Jira space for scope, the scope automatically updates whenever new work items are created within the Jira space.*

     You can select multiple Jira spaces; however, Financial Manager can only import up to 10,000 work items when creating a project. If you only want to track current work items and completed work items within a specific timeframe, create a JQL query instead.

   * **Epics** - Use this option when you want to track specific Jira epics. The selected epics and all tasks within these epics are included. This option is best when you're tracking a specific initiative or small project.

6. Select a **Project Type**.

   * **Monetary-based**: monetary-based calculations are per selected currency. Costs, revenue, and budget are calculated based on hourly rates.

   * **Time-based:** time-based calculations are per labor hours. Costs, revenue, and budget are calculated based on labor hours. For enterprises that operate on a budget per hour, a Time-based project can help them track the tasks and the project metrics per labor hours.

7. If you selected a Monetary-based project type:

   1. Enter a **Default Hourly Rate** for all project team members. When you enter a rate, you see actual costs incurred to date immediately. You can set a specific rate for each team role and each team member later.

   2. Select the **Currency** to use for this project.

8. Choose if you want to enable **Revenue Tracking** for the project. This allows you to track labor revenue and fixed revenue. You can disable this option at any time in your project configuration.

9. Click **Create** to confirm, and the Tempo project is created.

   You can optionally click **Create and Configure** to create the project and then immediately configure it.

Work Items from Jira or Structure are imported according to the default order and displayed in the **Scope** view. The project is added to the project list on the **Financial Manager** home page.

If you created a Time-based project, metrics are presented in worked hours. The project is based on a budget in hours, where scope, cost, and team information are based on hours. Project revenue and budget milestones are calculated in terms of hours.

## View Financial Manager Projects

Click the **Financial Manager** link to go to the home page and view a complete list of your projects. The amount budgeted and the total actual costs for each are displayed.  
The amounts displayed reflect the totals for the last time you accessed the project. When you open a project, the total hours worked are automatically updated.

## Synchronize Your Financial Manager Project

When you import work items or tasks to your Financial Manager project, you're creating a snapshot of your project at the time you created it. Keep your project up to date with changes in your Jira spaces or structures by syncing the scope of your project.

1. In the **Scope** tab, open the **Scope** menu.

2. Click **Sync Scope** .

When Jira spaces are used for the scope of your Financial Manager project, the scope automatically updates whenever new work items are created within the Jira space.

## Delete a Financial Manager Project

When you delete a project, you are only deleting the project framework you defined - that is, the **Financial Manager** project itself. The Jira filter and the work items linked to your project are not deleted. You can only delete your own projects or those projects where you are an **Editor**. A Tempo Project Administrator can delete any project.

1. Click **Configuration** in the Financial Manager toolbar at the top right.

2. Click **Delete Project**.

3. Click **Yes** to confirm.

# Creating a Fixed Price Project

If you're being paid a specific amount for a project, you can create a **Fixed Price** Tempo project. This allows you to track expenses and labor costs against the amount of money you're being paid.

A Fixed Price project generally includes a budget that the client has approved and fixed revenue where the client pays either a lump sum or in installments (recurring revenue). These projects can also include expenses, including billable expenses. They do not include billable hours, as these projects are based on providing a service or good, not on the labor involved in providing that service or good.

For example, if you were contracted to create an app for $20,000 over a three-month timeframe, you can use a fixed price project to track the expenses you're incurring, including your labor costs. Use Timesheets and Jira to track your time as usual, and then use Financial Manager to track your labor costs, expenses, and revenue. You can use this information to determine your future pricing or make staffing adjustments on the fly.

If you want to track both billable time and fixed revenue, do **not** select **Fixed Price Project**. A Monetary-based project with Revenue Tracking enabled tracks fixed revenue and labor revenue.

## Create a Fixed Price Project

1. Open Financial Manager, and [create a project](https://help.tempo.io/financialmanager/latest/creating-a-financial-manager-project.md).

   1. Select **Monetary-based** project.

   2. Enable **Revenue Tracking**.

2. Once you've created your project, navigate to **Configuration**.

3. In **General** , select **Fixed Price Project**.

However, you can't set Billing Rates, and data related to billable hours is not available for Fixed Price projects.

# Creating Financial Manager Reports

Tempo Capacity Planner is required to enable the following projection metrics for reports:

You can create reports for your Financial Manager projects to visualize the current or future state of your projects' costs and revenue.

When you generate a Financial Manager report, you create a static snapshot of your costs or revenue at the time the report runs. If you need to change the report, you can edit or clone the report at any time. If you want to update the data, open the report and regenerate it.

## Before You Begin

* If you want to run *Actual Revenue* or *Planned Revenue* reports, the project must be configured to [track revenue](https://help.tempo.io/financialmanager/latest/tracking-a-project-s-revenue.md).

* We recommend [syncing your projects](https://help.tempo.io/financialmanager/latest/updating-a-project-scope-sync-scope.md) before running a report to ensure that all tasks have been accounted for.

* If you want to run a report on a [portfolio](https://help.tempo.io/financialmanager/latest/creating-project-portfolios.md), you must be able to edit all projects included in the portfolio.

### Currency

While a portfolio can include mixed currencies, mixed currencies are not converted to a single currency. If some section of a report includes mixed currencies, the totals are not calculated for that section or the report.

## Create a Report

1. Navigate to **Financial Manager** , and then click the **Reports** tab in the upper right.

   You can also navigate to **Reports** , click the **Costs \& Revenues** tile, and then click **Open Financial Manager**.

2. Click **+ New Report** to open the report generator.

3. Search for and select a project or portfolio.

4. Choose a **Report Type**. This is a dynamically generated field and shows the report types that are available for the selected project or portfolio. For example, you must have revenue tracking enabled to select any revenue report types.

   * If you select **Actual Cost** or **Actual Revenue**, the Timeframe field defaults to the actual period of the selected project or portfolio's timeframe, inclusive of today.

   * If you select **Planned Cost** or **Planned Revenue**, the Timeframe field defaults to the entire project or portfolio's timeframe.

5. Select a **Timeframe** to pull the data from. If you're creating a report from a portfolio, you must manually enter the timeframe.

6. Click the **Filter by** box to display a list of filter options. Filtering information first can make it much faster to create a report because you don't have to load all the data first and then filter it.

   * You can filter by multiple filter categories. When multiple categories are selected, only items that apply to all categories are included in the report.

   * For each filter category, you can choose multiple items. When multiple items within a category are selected, worklogs that apply to any selected item are included in the report.

   * You can't change the filter later. You must create a new report.

7. Select a **Breakdown Method** to choose how to display your costs or revenue.

8. Click **Create**.

Your new report is created and automatically opens. You can only view the report in Financial Manager's **Reports** tab.

## Edit Reports

You can edit a report in the **Reports** tab. Use the **...** menu and then select **Edit**. You can change any field, including the report type.

Once you've edited the report, use the **Update** button to save your changes and regenerate the report. The report is opened automatically. The **Generated**timestamp is the date and time you saved your changes. If you've shared the report, the link remains the same.

You can also edit a report while viewing it.

## Copy Reports

You can copy a report in the Financial Manager **Reports** tab by clicking **...** and then selecting **Make a Copy**. This opens the report generator with all the fields cloned from the original report.

Update the fields and then **Make a Copy**. The Generated timestamp is the date and time you copied the report. The new report has a different URL that you can share with other team members.

You can also copy a report while viewing it.

## Regenerate Reports

You can also update the information in a report, which uses all currently available data and the same filters.  
Update your project scope before regenerating a report to ensure you have the most up-to-date data.

1. Open your report.

2. Click the **Regenerate report** icon.

3. Confirm that you want to regenerate the report with the current filters.

   If you want to change the filters, you must create a new report.

Your report is generated again, and the generated date and time are updated.

## Delete a Report

You can delete a report in the Financial Manager **Reports** tab by clicking **...** and then selecting **Delete** . This removes the report from the report tab. If you have shared the report, the links to the report don't resolve, and the user is returned to the **Reports** tab.

# Creating Groups to Organize Tasks in Your Project

You can organize the work items, tasks, or epics included in your project scope into groups. This lets you see your project in a higher-level structure that reflects your needs and preferences. This is especially useful when you wish to see total costs for a group of related work items, such as per department, per job role, or per milestone.

Groups are an organizational tool into which you can move items. You can also drag groups and items dynamically to reorder them and move items from one group to another. When you manually change the order of tasks and groups, that order is preserved moving forward.

Each group header shows you the total number of items in the group, the total cost, and time spent. You can expand and collapse groups to show or hide details.

When you export your project data to a CSV file, the group information is included.  
* When items are added to the work item list via a scope sync, they are added to the bottom of the list in the order provided by the filter.

* Jira work items that are completed appear in *Done* status and with a strikethrough across the number. You can still select the number to open the work item in Jira - the strikethrough only appears in Financial Manager.

## Before You Begin

* Navigate to your project's **Scope** tab to organize items.

## Create a Group

* Click **Groupings** in the top-right, then select **Create Group** and enter a name for the group. You can edit the group name inline.

* You can also select items you want to group together, open the **Groupings** menu or right-click, and then select **Create Group from Tasks**.

### Add Items to a Group

You have multiple options to add items to a group.

#### Drag tasks into a Group

* Select individual tasks using the checkboxes, and then drag them to the group's folder icon.

If your table is [++sorted++](https://help.tempo.io/financialmanager/latest/managing-your-project-scope.md), then you can't drag and drop any tasks. Make sure to remove the sort mode from the table columns before dragging tasks across the table.

#### Move multiple tasks into a group

1. Select multiple tasks using the checkboxes.

2. Open the **Groupings** menu and select **Move Tasks to Group.**

   - OR -

   Right-click and select **Move Tasks to Group**.

3. In the **Move Tasks to Group** form, choose the group you want to move the items into.

The selected tasks are moved into that group.

#### Remove tasks from a group

1. Select tasks using the checkboxes.

2. Open the **Groupings** menu and select **Remove Tasks from Group.**

   - OR -

   Right-click and select **Remove Tasks from Group**.

3. Confirm that you want to remove the tasks.

The tasks are no longer included in the group and are returned to the Tasks list.

## Delete Groups

1. In the Tasks list, check the boxes of the groups you want to delete.

2. Right-click and select **Delete Groups**

   - OR -

   Click the **Groupings** menu and select **Delete Groups**.

3. Click **Yes** in the confirmation message to delete the selected groups.

Only the selected group *folders* are deleted. The tasks that are in the deleted groups are simply returned to the list.

## Grouping by Epics

When you have a long list of tasks from different epics, it can be useful to group them into folders that are separated by their Epic so that you can get a summary of the cost by epic.

Groups created by using **Group by Epics** behave the same way as regular groups that you create. This means that you can later add or remove tasks or reorder the tasks of any of these groups. However, if you choose **Group by Epics** again, all tasks belonging to epics that have been moved out of their epic group will be placed back into them. Similarly, changes made in Jira affecting the epic of a project's tasks are not automatically reflected in the project's scope structure.

**To group tasks by their epic:**

* Click **Groupings** in the top-right and select **Group by Epics**.

The tasks are categorized and moved into folders that are automatically created for each epic in the project scope.

The new folders are named after the Epic. For example, tasks with the **UI improvements** epic link are grouped into a new folder named `UI improvements`. Tasks with no epic link aren't moved.

* The ordering of tasks is preserved within the epic folder.

* Sub-tasks are included when grouping by epic.

* New groups created using Group by Epics are located at the top of the scope list in alphabetical order.

* Group by Epics is available only for Jira Company-Managed Spaces.

If you've already created your own groups containing tasks with epic links, then grouping by epic will create a separate group for those work items under the same epic name. Also, groups already named after the epics will not be recreated.

For example, if you've already created a folder called **Coffee campaign onboarding** with tasks that have the **Espress-oh Onboarding** epic link, then grouping by epic will move those tasks into a new folder named after the epic, **Espress-oh onboarding**.

## Adding Tasks from a Sync Scope

When you [++Sync Scope++](https://help.tempo.io/financialmanager/latest/updating-a-project-scope-sync-scope.md) to update a project's scope, any new items that are found are added to the bottom of the work item list - they aren't added to groups.

However, once you've grouped a project's tasks by epics, Financial Manager automatically adds new tasks to their epic groups on every subsequent Scope sync for that project.

To stop grouping new items by epic on future Scope syncs, simply uncheck **Group tasks by epics** in the Sync scope preview dialog. Your preference is preserved for subsequent scope syncs on that project for you and all collaborators.  
Changing the scope of a project turns off **Group by Epics** for that project.

# Creating Project Portfolios

The Project Portfolios feature can facilitate the work of managing multiple projects aimed at achieving the same objectives. Projects can be grouped together in a Portfolio to gain insight into how a portfolio is performing based on the aggregated budget, cost, revenue and scope of the projects in the portfolio.

Portfolio managers are able to create different portfolios and pull in the relevant projects. This provides the ability to track project metrics such as the remaining budget, time spent and progress at the portfolio level.

**To create a Financial Manager Portfolio:**

1. In Financial Manager, click the **Portfolios** tab to access your portfolios.

2. For a first-time user, the empty portfolio page prompts you to create a portfolio. Click the **Create Portfolio button.**

3. In the Create Portfolio window, enter the **Name**.

4. Select **Projects** to add to your portfolio.

5. Click to select from a list of projects, or enter a string to start searching for the projects you want to add.

   You can click to **Clear** **Selection** and start again if you need to make the selections again.
6. Click the back arrow when done selecting the projects in order to return to creating your portfolio.

   The number of **Selected** projects is shown versus the number that remain **Unselected** for this Portfolio.

7. Optional: Enter the **Description** to be given to the new portfolio.

8. Optional: Select a **Color Tag**that visually identifies the new portfolio by color.

9. Click **Create Portfolio**.

10. View the **Summary** of the new portfolio.

    The Portfolio tab now displays the breakdown and details of the new portfolio you created with the calculated metrics, parsed based on the data included in the projects that were added.

# Data Residency

[Timesheets](https://hubs.la/Q02kl__p0), [Planner](https://hubs.la/Q02hg0LF0), and [Financial Manager](https://hubs.la/Q02hg0gk0) apps support data residency for the following regions:

* EU / Germany (Frankfurt): "[https://app.eu.tempo.io](https://app.eu.tempo.io/)"

* United States: "[https://app.us.tempo.io](https://app.us.tempo.io/)"

To migrate your Tempo apps data to a specific location, [contact Atlassian](https://support.atlassian.com/security-and-access-policies/docs/moving-your-marketplace-apps-data-to-another-location/). Please do not delete any of your Tempo apps, unless requested to do so by Atlassian or the Tempo support team.  
Tempo data residency migration typically takes 30 minutes to complete.

**After migrating your app data:**

* Slack integration will need to be re-enabled for the new region.

* OAuth apps and API integration tokens will need to be recreated so they correspond with the new region.

## What's not Migrated?

[Tempo Automation](https://help.tempo.io/timesheets/latest/what-is-tempo-automation.md) data from integrated apps is not migrated. These apps from which Tempo gathers activity and event data (such as MS 365 calendar) must be reconnected after migration.

## Troubleshooting

* If you uninstalled/reinstalled a Tempo app and have lost data, stop using the Tempo app and contact the [Tempo Support Team](https://tempo-io.atlassian.net/servicedesk/customer/portal/6) immediately.

* Timesheets, Planner, and Financial Manager all need to be installed in the same region to work together. If you already have one of our apps installed and the installation of an additional app fails, please contact our [Tempo Support Team](https://tempo-io.atlassian.net/servicedesk/customer/portal/6) so they can investigate.

# Defining Global Billing Rates

*Global Billing Rates* are centrally managed role-based rates that can be associated with an account. These rates are defined for each role and applied in two situations:

* When an account is associated with global billing rates and project members work on a work item tied to that account, the account's billing rates are used. This becomes the *account rate*.

* When a project is monetary-based and tracks revenue, the default billing rates are used for members in the project until modified by the project owner.

A *billing rate table* is a complete set of role-based rates.

* **Tempo Rate Administrator**- to view and modify account billing rates/global billing rates

## View Billing Rate Tables

A Tempo Rate Administrator can view all billing rate tables in **Tempo Settings** under**Rates** on the **Billing Rates** page.

Each billing rate table lists the number of accounts associated with it. You can't delete a billing rate table that is used by an account.

### The Default Billing Rates Table

The Default Billing Rates table is used to pre-populate project billing rates.

You cannot delete or rename the Default Billing Rates table, but you can delete the values. If a billing rate for a role isn't set, the table's default rate is used. Rates that use the default rate are a lighter grey.

## Add a Billing Rate Table

If you want to use the same billing rate for multiple roles, modify the **Default Rate** and delete the billing rates for the roles. The default rate is then used for the deleted rates.

1. Open **Tempo Settings** , and navigate to **Rates**.

2. Open **Billing Rates**.

3. Click **Add Billing Rate Table**, and enter a name for it.

4. Enter the billing rate value in the **Billing Rate** column for each role.

   The changes are made inline and saved as you move to another row.

5. Click **Apply Changes** when you're done.

You can update the values inline in the **Billing Rate**column at any time.

Once [applied to an account](https://help.tempo.io/timesheets/latest/selecting-an-account-billing-rate.md), the billing rates become the *account rates* - the billing rates applied to team members working on the account.

## Edit Billing Rate Tables

You can edit a billing rate table at any time. However, changes to a billing rate table impact revenue reporting.

1. Open **Tempo Settings** , and navigate to **Rates**.

2. Open **Billing Rates**.

3. Open a billing rate table.

4. Modify the billing rate value or the name of the table.

5. Click **Apply Changes** when you're done.

## Delete Billing Rate Tables

You can only delete a billing rate table that isn't in use. If it's associated with an account, or is the default billing rate table, you can't delete it.

Delete a billing rate table by:

* Using the **Delete** option on the Billing Rates page in **Tempo Settings**.

* Using the **Delete** button when editing a bill rate table.

# Defining Global Cost Rates

* **Tempo Rate Administrator**- to view and modify global rates

Cost rates can be applied globally by a Tempo Project Administrator or at the [project level](https://help.tempo.io/financialmanager/latest/setting-project-cost-rates.md). Global cost rates can be applied throughout the organization and for all projects created in Financial Manager. Changes to the global rates affect all projects where global rates are enabled.

The number of projects using the global rates is displayed in the heading so project managers can visualize the number of projects impacted by changes to the rates.

Fixed rates and multiple flexible rates can be defined for each role at the global and project levels.

On the Cost Rates page, set a static cost rate or define flexible rates for each role.

## Set Global Cost Rates

*Global Cost Rates* are role-based rates set globally for all Financial Manager projects. These rates are defined for each role at the application level and applied wherever the roles are assigned to team members working on projects. Enable projects to use the global rates in [project configuration](https://help.tempo.io/financialmanager/latest/setting-project-cost-rates-and-billing-rates.md); otherwise, the project-level rates are used by default.

If a team member in a project has not been assigned a role, they assume the default member role and inherit the project's default cost rate.

1. Open **Tempo Settings** , and navigate to **Rates**.

2. Open**Cost Rates**.

3. Expand the **Role Name** for the role you want to add a global rate to.

4. Enter the value for the **Initial Rate** in the **Cost Rate** column.

   The changes are made inline and saved as you move to another row.

5. Click **Apply Changes**.

Changes that are made to the global cost rates are applied to projects where the team roles are involved with the project.

If you have a large number of Financial Manager projects, a progress dial is displayed until the changes are applied.

### Add a Flexible Rate Based on Dates

Flexible rates are applied when a specific date is reached - the *effective date* . The effective rate is labeled the **Current Rate**when the effective date is reached.

1. Open **Tempo Settings** , and navigate to **Rates**.

2. Open**Cost Rates**.

3. Expand the **Role Name** for the role you want to add a flexible rate to.

4. Click the **+**to add an effective date.

5. Select an**Effective Date** for this rate.

6. Enter the **Cost Rate** that takes effect at the selected date.

7. Click **Yes** to save this rate.

### Delete a Global Cost Rate

**Initial Rates** cannot be deleted, but the values can be deleted. When the initial rate is null, and no flexible rate is defined for the role, the default hourly rate replaces the Global Cost Rate for team members in projects.

1. In **Global Cost Rates** , expand the **Role Name** with the rate you want to delete.

2. Hover over the rate, and then click the delete icon.

# Downloading Reports

If you want to work with your report data in another application, you can export the report you are viewing to CSV.

## Download Financial Manager Reports

Due to our continuous improvements, fields may not be in the same order as they were the last time you downloaded a report. If the field order is important to your process, periodically verify the report export or use our public API to get the raw data.

1. In Financial Manager, navigate to the **Reports** tab.

2. Create or open the report you want to download.

3. Click the download button.

The report is exported to a CSV file and downloaded automatically. The CSV includes columns that round the effort into hours and the same columns with time recorded in seconds. It also includes the Tempo Project ID and Tempo Project associated with items in the report.

# Expected Changes in Financial Manager on Forge

**The automatic migration to Forge is in progress.** If your instance has not yet been automatically migrated, you have the option to do either of the following:

* **Perform a manual update**

  Review the expected changes on this page and assess any impacts to your workflows. If the impact is manageable, we recommend [updating manually](https://help.tempo.io/financialmanager/latest/financial-manager-migration-to-forge-faqs.md#Migration-Timing-&-Process) to control the timing of your instance's migration.

* **Wait for the automatic update**

  The automatic rollout is occurring gradually, so we are unable to confirm the exact date your instance will be updated. It will not be possible to schedule, delay, or opt out once started.

After your instance is updated, you will receive an in-app notification confirming the change. You can also verify if your instance has migrated to Forge by [checking the app versions](https://help.tempo.io/financialmanager/latest/financial-manager-migration-to-forge-faqs.md#How-to-Check-Your-Current-Version).

Financial Manager is moving from the legacy Atlassian Connect framework to Forge, Atlassian's modern, secure, and scalable cloud app platform. This upgrade improves the security, reliability, and long‑term compatibility of Financial Manager with Atlassian Cloud.

Throughout the migration process, all existing Tempo data --- accounts, teams, configurations --- is fully preserved. No data is lost or modified, and no backup or customer action is needed to protect data. The migration changes only the app framework, not the underlying data.

This document outlines the user experience and behavioral changes associated with this transition so users understand what to expect. ## New JQL Filter Syntax

Some JQL filters will require updated syntax after transitioning to Forge. Existing saved filters that use the old syntax, such as links and bookmarks, will no longer work. To easily locate any broken filters, you can use the [Broken JQL Filter Finder](https://help.tempo.io/financialmanager/latest/broken-jql-filter-finder.md).  
**Once your instance is on Forge, please update your filters to use the new syntax as soon as possible.**

### Account Syntax

The Account custom field must be changed to `Account.name` as shown in the examples below. Note that because of these syntax changes, the = and != operators are not available in Basic Mode on Forge, as described [here](https://tempo-io.atlassian.net/wiki/spaces/DRAFTCOSTTRACKER/pages/5252153347/Expected+Changes+in+Financial+Manager+on+Forge#Contains-(~)-and-Not-Contains-(!~)-Operator-Support-for-Account-and-%E2%80%9CTempo-Team%E2%80%9D).

### "Tempo Team" Syntax

The "Tempo Team" custom field must be changed to "Tempo Team.name". See below for examples. Note that because of these syntax changes, the = and != operators are not available in Basic Mode on Forge, as described [here](https://help.tempo.io/financialmanager/latest/expected-changes-in-financial-manager-on-forge.md).

### Internal Issue Syntax

`issue.internal` has changed to `issueInternal`. However, both syntax versions are supported, so updating this JQL filter syntax is optional.

* **Old syntax** : `issue.internal = 'TRUE'`

* **New syntax** : `issueInternal = 'TRUE'`

### Contains (\~) and Not Contains (!\~) Operator Support for Account and "Tempo Team"

`Account` and `"Tempo Team"` now support contains (\~) and not contains (!\~) operators, as described in the table below.

## Changes to Keyboard Shortcuts Behavior and New Keywords

Previously, Tempo supported global keyboard shortcuts that worked anywhere in Jira and Tempo:

* **W** : Opens the *Log Time*

* **G then T**: Opens the Project Overview page in Financial Manager.

These shortcuts worked instantly without any setup or additional UI interaction.

Now on Forge Remote, keyboard shortcuts are no longer global. They are now implemented as **Atlassian Command Palette actions**, and you must open the command palette once before keyboard shortcuts work.

### To use Tempo shortcuts in Jira views:

1. Open the Command Palette:

   1. **Cmd + K** (Mac)

   2. **Ctrl + K** (Windows)

The Command Palette must be opened on an Atlassian page or component (not a third-party app, vendor page, or component) to reliably trigger it.

2. Close the Command Palette and use the Tempo shortcuts as before.

**Important:** Command palette shortcuts are only fetched after the user opens the palette for the first time. This means shortcuts are not available immediately on page load. They only become active after opening the Command Palette once per session. Also note that keyboard shortcuts and Command Palette entries may take 20-30 seconds to populate after a first visit or page reload. We recommend that you reference tickets [++FRGE-2169++](https://ecosystem.atlassian.net/browse/FRGE-2169)++,++ [++ECO-1606++](https://jira.atlassian.com/browse/ECO-1606), and [++JIRACLOUD-96973++](https://jira.atlassian.com/browse/JRACLOUD-96973) in your Atlassian support tickets to help expedite resolution.

### To use Tempo shortcuts in Tempo views:

Keyboard shortcut behavior in Tempo views remains unchanged.

## Changes to Automation for Account Field

If you want to add an *Account*condition or action to a new or existing rule, you must use a new method to complete this change.

### Account "work item fields condition"

In the *Rule details* view for an existing automation setup, the *Account* field for the **work item fields condition** will now display text indicating `(deleted field?)`. This is an expected artifact that will appear after migration, but it will not affect automation functionality.

However, if you add a new condition, you will not be able to add *Account* to the **work item fields condition** because this option is no longer available. As an alternative, you can add a **JQL condition** to set the Account field (for example, Account IS EMPTY) and validate it.

### Account "Then" Action

Previously, when adding a *Then* action, you could select **Edit work item** and choose *Account*from the list of AVAILABLE FIELDS.

After migrating to Forge, when adding a new *Then* action, the *Account*option is no longer available in the list of AVAILABLE FIELDS. You will need to use an alternative method to set the Account.  
To retrieve the Account name using smart values, use `issue.Account.value` to copy the Account name into a custom text field via automation.

**Alternative method:**

1. Search for and select **Edit work item**.

2. Select **More options** to use advanced field editing.

On Connect, the account field for Jira work items displayed only the **Account Name**.

On Forge, the account field displays the **Account Name (Account Key)**.

## Transitioning Work Items

When transitioning a work item from one state to another (e.g. To Do → In Progress), the custom field (e.g., custom Account field) may display a textbox containing code instead of a dropdown list. If this occurs, follow the steps below.

1. Go to the *Personal Jira settings* and select **General settings**.

2. In the Jira labs section, enable the **New work transition experience** feature.

Although individual users can perform this fix for their work items, we recommend that an administrator contact Atlassian to open a ticket and request that this fix be applied to all users in the organization.

## Custom Field Bulk Edit

Bulk editing is currently not supported on Forge for custom fields configured with the `object` type (such as *Account*). This is due to a known limitation in Atlassian's Forge framework, where the custom field editor is not invoked during Jira's bulk edit process. As a result, bulk editing of these fields through the standard interface is not possible.

As an alternative, we suggest using Jira's [Edit issue API](https://developer.atlassian.com/cloud/jira/platform/rest/v3/api-group-issues/#api-rest-api-3-issue-issueidorkey-put) to update the work items. You can also use [Jira automation](https://www.atlassian.com/software/jira/guides/automation/overview#board-vs-project) to set the fields when updated.

We have raised this issue with Atlassian, and a [public ticket](https://ecosystem.atlassian.net/browse/FRGE-1126) is available for tracking progress. We encourage you to follow the ticket and add your feedback or vote, as this helps prioritize a resolution.

## Forge Custom Fields in Jira JSPA Pages

Custom fields in Forge don't render correctly on legacy JSPA create-issue pages. For a workaround, use the blue **Create** button in the Jira header instead of a direct JSPA link.

## Forge Object Type Custom Fields

When using the legacy (Connect) **Create linked work item** modal to create a linked work item in JSM, any Forge custom field included in the work item is rendered as a text area instead of its intended type. There is currently no workaround for this behavior. ## Tempo Hidden Fields in JSM

In JSM, the default value setting for hidden Tempo fields in request types (Jira Service Management \> Request Types) is not working correctly. As a result, default values can not be configured for fields that are set as hidden. In some cases, this may prevent work item creation entirely.

As a workaround, you can make the affected hidden Tempo fields visible on the screen to restore functionality.

**Update:** A fix for this issue has been implemented. See ECOHELP-122513 on our [Atlassian Tickets for Reference](https://help.tempo.io/financialmanager/latest/atlassian-tickets-for-reference.md) page.

## Default Account for New Jira Work Items

Previously, it was not required that the custom Account field be visible on the work item creation screen to use the default account value set in Space Settings \> Accounts.

With the move to Forge, it is now required that the custom Account field be visible on the work item creation screen to perform any actions, including applying the default value. As a workaround, you must add the Account custom field to the work item creation screen.

## Admins Cannot Impersonate Other Users

On the Forge platform, impersonating another user causes a permissions-exchange issue that prevents the application from opening. Avoid testing Tempo while impersonating another user. We recommend referencing [++ECO-244++](https://jira.atlassian.com/browse/ECO-244) in your Atlassian support tickets to help expedite a resolution.

## Tempo Report Bookmarks

Tempo Reports that are saved as bookmarks will no longer work. To maintain report data, you can do either of the following:

**Before Forge upgrade** : open the URL and [++print the report++](https://help.tempo.io/financialmanager/latest/printing-reports.md)

**After Forge upgrade**: recreate the report and re-bookmark it (or print it)

## Firewall Configuration

If you are unable to access Tempo apps, your firewall may be blocking traffic from Atlassian's Forge platform and its CDN domains. Atlassian controls these domains and may update them at any time.

Allow the following [++Atlassian domains++](https://support.atlassian.com/organization-administration/docs/ip-addresses-and-domains-for-atlassian-cloud-products/) in your firewall to prevent these issues.

## Other UX Changes

* Bookmarks will be automatically redirected from the old URL to the new URL redirect provided by Atlassian.

* After authorizing an OAuth App, upon clicking the **Onwards!** button, the redirect URI will now open in a new tab.

* Notifications will now appear in the bottom-left corner instead of the upper-right-hand corner.

# Exporting Portfolio Projects

You can export the Portfolio projects to a .CSV file.

1. Click the **Portfolio** tab and select a Portfolio to open it.

2. In the **Summary** page, scroll down to the Projects list.

3. Click the **Export portfolio summary to CSV** button to export the projects' data to a .CSV file.

   The exported file with the title formatted as *\<portfolioname\>_timestmap.csv* is downloaded to your local drive.
4. Open the .CSV file from your Downloads folder to see it in a comma-separated format or in a spreadsheet format.

| Total Labor Cost           | Total labor cost incurred by the time record in this project.                                                               |
| Total Expense Cost         | The total cost for expenses incurred in this project.                                                                       |
| Total Time Spent           | Total time spent in seconds.                                                                                                |
| Start Date                 | Start date for this project.                                                                                                |
| End Date                   | End date for this project.                                                                                                  |
| Team Member Count          | The count of team members working on the project.                                                                           |
| Scope Last Synced on (UTC) | The date and time the project was last Synced. If projects are not synced, this field is blank.                             |

# Exporting Project Expenses

You can export project expenses to a .CSV file and later import the file into a third-party software for reporting and analysis. All expense data and recurrence settings are included in the exported data. For a recurring expense, a separate row is added in the exported file for each occurrence of the expense.

## Export Expenses

1. Select a Financial Manager project.

2. Click the **Expenses** tab in the upper-right corner.

   The project expenses are visualized by category and displayed in a table.

3. Click the **Export to CSV**button. This will export the expenses data to a .CSV file and will send the file to your computer.

4. Open the .CSV file. Exported files are titled as follows:

   'Expenses for \<project name\>_\<exported date\>.csv'

   For example, *Expenses for Lunar Lab app_2022-07-19.csv*

| Account Status        | The status of the associated account. | Recurrence Type       | The recurrence setting and type of recurrence. | Recurrence End Date   | The end date for the recurrence, if the end date is set.                                                                                                                                                                                                                                                                                                                    |
| Recurrence Interval   | If the **Monthly** Recurrence Type is configured, this represents the number of months between occurrences. For example, every 3 months.                                                                                                                                                                                                                                    |
| Recurrence Monthly By | This can be **DAY_OF_MONTH** or **DAY_OF_WEEK** if the Recurrence Type is set to **Monthly**, otherwise it is blank. * **DAY_OF_MONTH** indicates on which day of the month should the expense recur. For example, 3rd of the month. * **DAY_OF_WEEK** indicates on which day of the week that the monthly expense should recur. For example, the 2nd Tuesday of the Month. |

# Exporting the Project Scope Data

You can export project scope costs data for any project in your project list directly to a CSV file.

There are two options for exporting to CSV, depending on the project cost data you want and how it's organized: by Jira work item (**Export Scope to CSV** ) or by time record (**Export Labor Costs to CSV**). For example, choose the latter option if you want to see a breakdown of how many hours were logged by which team member to each Jira work item, and the costs associated with each time record.

**To export the project scope cost data:**

1. Select **Export to CSV** from the **Scope** drop-down located at the top-right.

2. A CSV file is immediately generated and downloaded.

   For **Export Scope to CSV** , a file is created **Scope for \<project name\>_\<current date\>.csv**

   For **Export Labor Costs to CSV** , a file is created **Labor Costs for \<project name\>_\<current date\>.csv**
3. Open the CSV reports.

   The above is an example of the **Scope** report file.

## Fields in the CSV file

These fields are included in the CSV file for each Jira work item or time record included in your project's scope:

* **Export Scope to CSV** : 1 row per Jira work item with only the fields marked **Export Scope**

* **Export Labor Costs to CSV**: 1 row per time record with each field in this table

If you export your report data to use it in other software or to manipulate the data using spreadsheet macros, we highly recommend exporting the data using our[++public API++](https://apidocs.tempo.io/) since *column order* and *column names* can change as we improve our reports and export capabilities.

If you can't use our API, we recommend using the column names instead of column order or index number. Most spreadsheet software have a `MATCH` function that can find a column index by name. You can use that in conjunction with a function like `VLOOKUP` that accepts a column index.  
Fields listed here may not be complete, in the same order, or otherwise represent the fields listed in your report. If the field order or list is important to your process, periodically verify the report export or use our public API to get the raw data.

# Filtering Report Data

When you generate a report, you have the option to filter the report to the data you want to view. Since reports are snapshots of the project or portfolio data at the report creation time, you can't change the filter after you generate a report. You must create a new report with a new filter.  
We recommend filtering your reports to the information that you want to view. This saves time and prevents performance issues when you have a lot of data to load.

## Filter Data

The **Filter by** field at the top of the report shows which filters are applied.

1. Create a Financial Manager report.

2. In the **Filter By** field, click for a list of filter options.

3. Select the data you want to include in the report. Use the checkboxes to add or remove filters.

   * Use the search box to search for specific roles, accounts, etc.

   * If you select multiple filters in a category, **any** work item that matches the filter is included in the report. For example, if you select **Designer** and **Developer** , any work item that includes a designer **OR** a developer is returned.

   * If you select filters in multiple categories, work items are only included if they match **all** categories.

     For example, if you select a filter from **Role** and a filter from **Account** , only work items that include the selected role **AND** the selected account are included.

4. Click **Back** to return to the list of filters.

## View Filters Used in a Report

When you open a report, you can view the filter used to create it. Click **Filters** at the top right.

# Financial Manager FAQ

## **How are costs calculated?**

The hours used to calculate your costs are directly derived from the time logged on Jira work items using **Tempo Timesheets**. Hours are multiplied by the cost rate you set in Financial Manager settings.

Hours for subtasks of a work item are NOT automatically included. If you want to track hours from subtasks, the subtasks must be included as part of the scope of the Jira filter that you are using to create your project. Hours logged for the future are also not included.

### **Can I add new work items to my project?**

Re-sync your Tempo project to the Jira filter you used to define your project scope. Any new or deleted work items will be reflected in your Financial Manager project.

### **Can I change my project scope?**

If you are the Project Owner - usually the person who created the project - you can change the project scope used for your project and retain the groups you already created. This is especially useful if there are similarly named Jira filters, structures, Jira spaces, or Jira epics, and you selected the wrong one.

### **What is a 'calculated' timeframe?**

The timeframe is calculated by default when you define your project scope. This means that the start and end dates for your project are set according to the earliest and latest dates on which a member of your project team logged time on any work item, added an expense, or added a plan, up to and including today's date.

When a member of your team logs time, adds an expense, or adds a plan - either on an earlier or later date - the start or end date for your project timeframe updates accordingly. For example, if someone forgot to log some of their time at the beginning of the project and then logs time on an earlier date, the start date for your project would be earlier.

When you set a fixed timeframe for your project, any time logged or expense added on an earlier or later date is not included in your costs. You can edit your Timeframe at any time, as required, or revert to a calculated timeframe.

Time logged on a future date or planned for the future is not recorded in your project costs. However, expenses and fixed revenue occurrences, both in the past and in the future, are also accounted for in the project timeframe calculation.

### **Does using Financial Manager affect my Tempo Timesheets worklog data?**

No. Financial Manager has read-only access to Tempo Timesheets worklogs. You can view the data, but there is no risk of losing it, and you cannot edit worklogs from Financial Manager.

### **Who can access Financial Manager?**

Only people who are granted one of the [**Tempo Project**](https://help.tempo.io/financialmanager/latest/permissions-and-roles-for-tempo-projects) global permissions can access Tempo Financial Manager. Jira administrators must add specific users to a group that is granted access to Tempo Financial Manager. This is different from the **Tempo Timesheets Access** permission, where everyone with access to your Jira site is granted access to **Tempo Timesheets** by default and can interact with it according to their permissions.

### Why can't I see the Costs \& Revenues report tile?

You can view the **Costs \& Revenues** report tile on the **Reports** page when you have either the **Tempo Project Manager**permission or have never installed Financial Manager by Tempo. Request access to Financial Manager from your Jira administrator.

### Why can't I see some projects?

A combination of [Jira global permissions](https://help.tempo.io/timesheets/latest/global-permissions.md) and [Tempo project access settings](https://help.tempo.io/financialmanager/latest/sharing-financial-manager-projects.md) controls the visibility of Tempo projects. While you can view privileges through Jira global permissions, some Tempo projects are restricted to specific users.

### Why can't I change project settings in Tempo Settings

Access to Tempo Settings, specifically Tempo Project Settings, has been restricted to the **Tempo Project Administrator** permission. Previously, users with the **Tempo Administrator** and **Tempo Project Manager** permissions could modify these settings.

To support you throughout the ongoing Forge migration process, we've compiled a list of the most frequently asked questions based on customer feedback. This FAQ page is designed to provide quick, easy access to the latest information.

## How to Check Your Current Version

**Question:** How can I tell if my instance is already on Forge?

**Answer:** Check your app version by navigating to **Jira Settings** → **Marketplace Apps**. The following versions indicate a Forge installation:

**Financial Manager and Tempo Core**

* Financial Manager: 5.0.0+

* Tempo Core: 6.0.0+

**Other Tempo Products**

* Timesheets: 5.0.0+

* Capacity Planner: 5.0.0+

* Structure PPM and Gantt Charts for Structure PPM: 5.0.0+

* Custom Charts for Jira: 11.0.0+

* Custom Charts for Confluence: 9.0.0+

## Migration Timing \& Process

**Question:** Will the upgrade happen automatically, or can we choose when it occurs?

**Answer:** Upgrades are rolled out automatically in random batches. Tempo cannot control which sites are included or when they are included. You can manually trigger the upgrade before the automated rollout reaches you via **Jira Settings** → **Marketplace Apps** → **View App Details** → **Update**.  
If you manually update Financial Manager, you must also manually update **Tempo Core** at the same time (see below).

**What is Tempo Core, and do I need to update it?**

Tempo Core is the free, base application that powers Timesheets, Capacity Planner, and Financial Manager. It must be updated alongside your other Tempo apps.

Automatic upgrade: Tempo Core will be updated automatically during the automatic rollout for Financial Manager. But if you are manually updating Financial Manager, you must also update Tempo Core.

Manual upgrade: If you're manually updating Financial Manager, you must also go to your Jira Connected Apps, find "Tempo Core" and click **Update**.

**Question:** Will we be notified of our instance migration in advance?

**Answer:** Tempo has no visibility into which instances are scheduled next. You can check your app version to confirm whether your instance is already on Forge. Otherwise, you can manually trigger the upgrade before the automated rollout reaches you via **Jira Settings** → **Marketplace Apps** → **View App Details** → **Update**.

**Question:** Can we delay the migration until known issues are fixed?

**Answer:** Our [announced tentative automatic rollout date](https://help.tempo.io/financialmanager/latest/expected-changes-in-financial-manager-on-forge.md) accounts for Atlassian's timelines to key fixes. We are monitoring key fixes on [this page](https://help.tempo.io/financialmanager/latest/atlassian-tickets-for-reference.md) and will share the latest updates there.

**Question:** How long does the migration take? Is there any downtime?

**Answer:** No downtime or performance issues are expected during the upgrade.

**Question:** Can we upgrade our sandbox environment before production to test the impact?

**Answer:** Yes, you can upgrade sandbox and production environments independently, which allows you to test the impact of changes --- such as broken JQL filters --- before upgrading production.

## API \& Authentication Changes

**Question:** Are there any changes to Tempo API endpoints?

**Answer:** No, API endpoints are not changing. The only authentication-related change is to the [OAuth URL format](https://help.tempo.io/financialmanager/latest/expected-changes-in-financial-manager-on-forge.md).

**Question:** Where and how do we update the OAuth URL?

**Answer:** Details on the updated OAuth URL format are [here](https://help.tempo.io/financialmanager/latest/expected-changes-in-financial-manager-on-forge.md). Note that the new URL supports both Connect and Forge, so you can update it before upgrading the app.

**Question:** Will API tokens be affected by the Forge migration?

**Answer:** No, API tokens are not affected by the Forge migration.

## JQL Filters and Automations

**Question:** Will existing JQL filters break after the migration?

**Answer:** Some JQL filters will break if they reference Tempo-specific fields such as Account, Tempo Team, internal work items, or custom field IDs. A [Broken JQL Filter Finder](https://help.tempo.io/financialmanager/latest/broken-jql-filter-finder.md) tool is available after upgrading to Forge to help identify and fix affected filters.

**Question:** Will Jira dashboard filters be affected?

**Answer:** Yes, dashboard filters using broken JQL will be affected. Once you fix the broken JQL, they will work again.

**Question:** Will the Broken JQL Filter Finder also find private filters?

**Answer:** The Broken JQL Filter Finder shows all the filters a user has permissions to. As a Jira admin, you can also view Private filters. This feature uses overrideSharePermissions, an experimental flag available to users with *Administer Jira* global permissions that overrides share permissions to enable filters to return any share permissions.

**Question:** Will Jira Automations using Tempo fields in JQL be affected?

**Answer:** Some automations referencing Tempo Account fields in JQL might need to be updated after the Forge migration. Please refer to the [Automations section](https://help.tempo.io/financialmanager/latest/expected-changes-in-financial-manager-on-forge.md) of the Expected Changes documentation.

## Data \& Historical Records

**Question:** Will historical worklogs, plans, and reports be preserved?

**Answer:** Yes, there are no changes to historical data, worklogs, or plans.

## UI \& Time Tracking Changes

**Question:** Will the day-to-day experience of logging time change significantly?

**Answer:** Not significantly. There are some minor UI/UX differences, and a few specific logging methods are affected, such as the Jira work item view Tempo panel and keyboard shortcuts. All other ways of logging time remain the same.

**Question:** Will the time tracking panel on Jira work items (showing Estimated, Remaining, and Logged time) still be available?

**Answer:** Yes, that panel will still be available after the Forge migration. Contact Tempo Support if it is missing after your upgrade.

**Question:** Will my saved Tempo Report bookmarks still work after the Forge migration?

**Answer:** No, saved report bookmarks will no longer work after the upgrade. Here's what to do:

* **Before upgrading:** Open each bookmarked URL and save the report.

* **After upgrading:** Recreate the report and re-bookmark or re-save it.

## Third-Party Integrations \& Add-ons

**Question:** Will third-party apps and connectors that integrate with Tempo be affected?

**Answer:** If the integration uses Tempo's API directly, it should not be impacted. If it relies on OAuth URLs, the format needs to be updated to the new URL format. If JQL filters reference Tempo fields, those filters will need to be updated. We recommend that you contact the third-party vendor's support for confirmation.

## Jira Service Management (JSM)

**Question:** Does the Forge migration affect Jira Service Management projects?

**Answer:** Potentially yes. If you are using hidden Tempo fields in JSM request types, these may be affected. This is one of the blockers Tempo is actively pushing Atlassian to resolve before automated upgrades resume.

# Forecasting Project Costs and Revenues

Plans in Timesheets and [Capacity Planner](https://marketplace.atlassian.com/apps/1211881/planner-by-tempo-resource-planning-capacity-planning?hosting=cloud&tab=overview) are integrated into Financial Manager projects. Any current or future plans assigned to team members are accounted for when calculating a project's labor, cost, and revenue.

When importing Jira work items to Financial Manager projects, the related planned time is also imported. The teams' time logs and future planned time provide present costs and revenue up to the current date and future projections for the Financial Manager projects. This equips project managers with the necessary data to forecast costs and revenue into the future.  
* Financial Manager projects always use planned time for forecasting.

* Plans created on Jira spaces using Planner are not included in forecasts.

# Get Started with Financial Manager

**Financial Manager** leverages the time tracking data from **Timesheets by Tempo** (and is also compatible with Jira native time tracking) to deliver a financial snapshot that shows you at a glance how your project's total costs are tracking toward a budget.

A Financial Manager project is defined by a single Jira filter, a [structure](https://help.tempo.io/financialmanager/latest/integrating-structure-data-into-financial-manager-projects.md), or Jira spaces and epics. Time logged to Jira work items or subtasks included in the filter is translated into labor costs.

The following information guides you through creating your first Financial Manager project quickly.

* Tempo Project Administrator

* Tempo Project Manager

## Before You Begin

* You must have [**Financial Manager by** **Tempo**](https://help.tempo.io/financialmanager/latest/setting-up-financial-manager.md) installed.

* Optionally, if you have Structure by Tempo, install the [**Connect to Structure**](https://help.tempo.io/timesheets/latest/structure-by-tempo.md) app so you can use structures to build your Financial Manager projects.

## Quick Start

1. Open **Tempo** from the Jira **Apps** menu.

2. Select the Financial Manager icon from the **Tempo** sidebar.

3. Click **Create Project** to create your first Tempo project in Financial Manager.

   * Optionally, specify which Jira work items you want to include in your project using Jira spaces, epics, a JQL filter, or a [structure](https://help.tempo.io/timesheets/latest/structure-by-tempo.md) to define the **scope**.

# Getting an Overview of Your Project

You can get an immediate overview of how the total cost (labor plus expenses) is tracking toward the budget you set.

If you don't see your project or don't see the information you expect, view the [Permissions and Roles for Tempo Projects](https://help.tempo.io/financialmanager/latest/permissions-and-roles-for-tempo-projects.md) for more information.

## The Overview tab

Click the **Overview** tab in the upper right, or select any project from the project list on the [++Financial Manager home page++](https://help.tempo.io/financialmanager/latest/reviewing-your-projects-at-a-glance.md) to open this tab.

Hover over any part of the graph to see a breakdown of your project's elements up to that date.

Depending on your project type, some tabs or fields are not displayed, such as the **Expenses** tab.

**Budget Milestones** are shown as orange "steps" over the project's timeframe. If you've added a description to your budget milestones, you can quickly understand what the milestone entails by hovering over the milestone.

## Tracking a Project's Revenue and Profitability

If [++**Revenue Tracking**++](https://help.tempo.io/financialmanager/latest/tracking-a-project-s-revenue.md) is on, you'll see the revenue generated for your project as a purple line on the graph. **Revenue** is calculated by multiplying the number of hours logged to a project (the hours that are considered billable) by a **Billing Rate** - see [++Tracking a Project's Revenue++](https://help.tempo.io/financialmanager/latest/tracking-a-project-s-revenue.md) for more information.

You can compare the Total Cost to Revenue to see the profitability of your project. Profitability calculations are displayed above the **Progress** panel:

* The **Profit** value is calculated based on *(Revenue - Cost)* .

* The **Net Profit Margin** value is calculated based on *(Revenue - Cost)/Revenue \* 100*.

Hover over the chart to see the **Revenue** , **Profit** and **Net Profit Margin** calculations in the legend.

As you move along the x-axis representing the date in the graph you can see the profit and the net profit margin values over time. This indicates whether you have increasing, decreasing or stable profits across time.

You can expand the chart across the entire page or collapse it to its default view. Click on the chevron on right side of the chart to toggle between expanding it or collapsing it. This setting persists when navigating to this page again.

## Viewing a Project's Progress

It's important to know whether your project is on schedule, within budget and how much work there is left to do. You can use the **Progress** side panel to measure your project's success by monitoring your key performance indicators (KPIs). You can quickly glance at the progress bar for each KPI to gain insight on the status of the project and compare KPIs against each other.

In the Progress side panel, each KPI's progress bar is stacked on top of each other and can be used to easily compare them.

* For example, when a project's Scope is further along than its Schedule, this means that the project is progressing ahead of schedule.

### **Schedule**

The Schedule shows you how you're tracking towards your project deadline and how many working days remain until your project deadline. The working days are based on the holiday and workload schemes defined by Tempo's default holiday and workload schemes. This date is retrieved from the timeframe set for the project in the Configuration page. If no timeframe is defined, then a Schedule progress bar will not be displayed. To set the schedule for a new project, select Configure and select the start and end dates from the date picker. You can go back to the Configuration page to **Revert back to a calculated timeframe** but you will no longer be able to view anything in the Schedule section.

### **Scope**

The Scope shows you the number of completed tasks and how many are left to be completed in your project. If you want to view the tasks, select "XX remaining" to be redirected to your project's scope page. A completed task is one with a resolution (e.g., Done, Closed). To set the scope for a new project, select **Set Scope** and select the Jira filter, [structure](https://help.tempo.io/financialmanager/latest/integrating-structure-data-into-financial-manager-projects.md), Jira spaces, or Jira epics you want to use for the project. This will import the tasks and time records associated with the scope.

### **Cost**

The Cost shows you the actual cost, total budget and how much of your budget remains for your project. The actual cost is the sum of the labor costs (based on time records) and [++expenses++](https://help.tempo.io/financialmanager/latest/adding-expenses.md).

To set a budget for a new project, select **Configure** and enter the budget in the Configuration page.

If you are over your budget, then an attention icon will appear and you'll be able to see the amount you are above your budget by.

For example, this project is above its budget by $82.4K:

By default, the Progress side panel will always appear on the right side of the Financial Manager project overview screen. If you want to hide the Progress side panel, you can collapse it and Financial Manager will remember your preference for that specific project on that browser. You can reopen it at any time using the side arrow.

# Installing Tempo Financial Manager

Installing Tempo Financial Manager is a 2-step process that involves installing both the Tempo Financial Manager application and its required companion application, Tempo Core, a free app that provides the foundational framework to run Financial Manager. While the installation order does not affect functionality, both applications must be installed to use Tempo Financial Manager.

## Installation Instructions

### Option 1: Installing Tempo Financial Manager First

1. From the Atlassian Marketplace, install [Tempo Financial Manager](https://marketplace.atlassian.com/apps/1221748/financial-manager-jira-project-cost-tracking-tempo?hosting=cloud&tab=overview).

2. Once installation is complete, you will be directed to a page indicating that Tempo Core is required.

1. From the Atlassian Marketplace, install Tempo Core (free companion application).

2. After installation, you will be directed to a selection page where you can choose your Tempo apps.

# Integrating Financial Manager using REST APIs

All Tempo REST [++OAuth authentication++](https://help.tempo.io/timesheets/latest/using-oauth-2-0-authentication.md) APIs use OAuth authentication. They are permission-restricted, so it is recommended to create a machine-to-machine access token to ensure the REST endpoint returns the correct data. Be advised that the machine-to-machine access token expires after 60 days, so you will need to ensure you have a function in place to renew it when it expires.

With [Structure](https://marketplace.atlassian.com/apps/34717/structure-by-tempo-jira-portfolio-management-ppm?hosting=cloud&tab=overview) integrated with Financial Manager and Timesheets, you can use Structure to visualize, track, and manage the work of multiple teams or Jira spaces, and then track costs and revenue of the structure in a Financial Manager project.

This integration allows you to define the scope of a project based on an existing structure.

Managing projects is restricted to specific Jira global permissions and specific Tempo Project roles. A Tempo Project Viewer can't manage projects. If your project access requirements change, contact your Jira administrator.

# Managing Project Updates and Exports

Tempo Capacity Planner is required to enable the following features in Financial Manager:

* Projected Labor Cost and Projected Labor Revenue

* Exporting planned labor to a CSV file

Project costs and revenue are calculated based on the initial rates of the team members' roles. Any changes made to the logged time or assigned plans are directly recalculated in Financial Manager projects.

When team members have planned time assigned to them, the role that was recently used for the resource will be matched with the defined global rate for the role.

## Updating Plans and Logged Time

In the Scope table, make changes to a task by logging time or planning time. The project is then automatically updated and the timeframe is extended to cover any assigned future plans.  
In the Scope tab, if no plans are assigned to team members who logged time, the Remaining Cost and Remaining Time columns display a dash.

Users can have plans but no logged time.

**To update a project:**

1. Select a project.

2. Click the **Scope** tab and select a task in the Scope table.

3. In Jira, add planned time for the team member working on the project.

   You can also log time for this work item. If logged time is in the future, then a plan is added.
4. In Planner, view the updated plans for the resources working on the project that you want to forecast. Add plans to team members working on the same project, or other projects.

5. Back in Financial Manager, refresh the browser to update the latest changes made to the task and scroll down to see the calculations for Projected Labor, Projected Revenue, Remaining Cost, Remaining Time, and Remaining Revenue.

For time-based projects, the Projected Labor and Remaining Time is shown. The Projected Costs and Remaining Revenue are not shown.

## Exporting Planned Labor to a CSV File

Export the Scope to a .CSV format for logged time up to today, and for planned time into the future, all within the project timeframe.  
* If a fixed timeframe is selected for the project, then the exported data will only cover the plans up to the selected timeframe. Any plans that extend beyond the selected timeframe will not be exported.

* Tempo Project Viewers can't download the planned labor costs.

**To export the planned labor costs:**

1. Select a project.

2. Click the **Scope** tab.

3. In the **Scope:** *project filter* button, click the **Export Planned Labor Costs to CSV** in the drop-down list.

   The export file is saved in your download folder.

4. Open the '**Planned Labor Costs for Future Project_\<exportdate\>.csv**' file, where the \<exportdate\> is the date you exported the file.

5. Scroll to the **Planned Time (Seconds)** to see the planned time for each task.

6. Open the file in a spreadsheet for a more organized look.

## **Adding or Removing Portfolio Projects**

1. Click the **Portfolio** tab and select the Portfolio tile you wish to work on.

   Only Portfolios that you own are displayed.
2. In the **Summary** page, scroll down to the *Search for Projects in this Portfolio*box and type the name of the portfolio you are searching for.

   The search result dynamically returns the projects that includes the strings as you type.
3. To add a project to the Portfolio:

   * Click the **Add Projects**button.

   * Select the projects in the **Add Projects**window.

     Search for the projects in the *Search Projects* box to easily find the projects you want to add to the Portfolio.
   * Click **Add Projects** when done.

4. To remove projects from a Portfolio:

   * Click the checkmark for the **Project name**column to select all projects in the portfolio or check the projects down the list individually

   * Click the **Remove Projects** button.

   * Click **Yes** in the confirmation message.

* The removed Portfolio projects remain available in Financial Manager projects.

* The number of projects to be removed is shown even if a filter is applied to the project list.

* The Portfolio calculations are immediately updated when projects are added or removed.

## Associating a Project to Many Portfolios

You can easily navigate between projects and Portfolios and associate Portfolios directly from the project page. If you created at least one Portfolio, then a navigation shortcut is created when browsing through your projects. The shortcut allows you to easily navigate to all associated Portfolios, or to add the project to your Portfolios.

Do the following to navigate between projects and portfolios:

1. In the Portfolio's **Summary** page, click on an individual project to navigate to the [++Project Overview++](https://help.tempo.io/financialmanager/latest/getting-an-overview-of-your-project.md) page.

   To open the project page in a separate tab, press CTRL +left click.
2. In the **Project Overview** page, a **Portfolio** label is shown next to the project name that acts as a shortcut to Portfolios. It indicates that the project is associated with portfolios. If you don't have any Portfolios then the label will not appear.

   Hover over the **Portfolio** label, then click to see a list of portfolios that the project is associated with:
   * The label will indicate if the project is associated with one or more portfolios.

     If the project is associated with one Portfolio, the tooltip will list the name of the portfolio.
   * Click on the label to open the list of portfolios. To open the portfolio page in a separate tab, press CTRL+left click.

   * Click on **+** to add Portfolios from the list directly to the project.

     Use the search box to find the Portfolios you want to add.
   * Click **Apply** and **Close**.

The project is added to all selected Portfolios.  
The **Portfolio** label only appears if you have created at least one Portfolio.

## Configuring Portfolios

In the **Configuration** tab a Portfolio owner can make changes to the Portfolio properties.

**To configure Portfolios:**

1. Click the **Portfolio** tab and select the Portfolio tile you wish to manage.

   Only Portfolios that you own are displayed.
2. Click the **Configuration** tab.

3. Make changes to the **Name** of the Portfolio.

4. Select a**Color Tag**for your Portfolio.

5. Add a brief **Description** for the Portfolio.

## Deleting Portfolios

In the **Configuration** tab a Portfolio owner can delete Portfolios.

* Click on the **Delete Portfolio** button and click **Yes** for the Confirmation message.

* The projects in the Portfolio are not deleted when the Portfolio is deleted. They are removed from the deleted Portfolio.

# Managing Your Project Scope

The **Scope** view presents a visual snapshot of a project's total labor costs over time. You can view actual labor costs incurred at any point on the timeline by hovering over that date, and view costs on a per-work item and per-group basis. The [++projected++](https://help.tempo.io/financialmanager/latest/forecasting-project-costs-and-revenues.md)labor costs are also presented in this view and are calculated based on the team members' planned time tasks for work items related to this project.

The scope's [++Timeframe++](https://help.tempo.io/financialmanager/latest/setting-the-project-s-timeframe.md) is automatically generated based on the hours that [++project team members++](https://help.tempo.io/financialmanager/latest/working-with-the-project-team.md) have logged time to work items in the project, but you can [++change the timeframe++](https://help.tempo.io/financialmanager/latest/setting-the-project-s-timeframe.md) as you like.

You can easily [++group Jira work items++](https://help.tempo.io/financialmanager/latest/creating-groups-to-structure-issues-in-your-projec.md) in any way you want to get data. For example, create groups of Jira work items based on each department in your company to get a summary of their cost and time spent.

* **Labor Cost** - the cost based on the number of hours logged by project team members at a [++**Rate**++](https://help.tempo.io/financialmanager/latest/setting-project-cost-rates-and-billing-rates.md) that you define. If a fixed timeframe is selected for the project, then the cost only covers the hours worked in the selected timeframe. Items outside the selected timeframe aren't included.

* **Time Spent** - the total number of hours logged by all project team members in this timeframe.

The **Scope** view displays actual labor costs incurred to date. To get an overview of the total actual costs for each project, including labor and expenses, go to the [++Overview++](https://help.tempo.io/financialmanager/latest/getting-an-overview-of-your-project.md).

You can collapse the chart to gain more space and display more rows per page in the Scope table. To do so:

* Click on the chevron at the bottom of the chart to toggle between expanding or collapsing it. This setting persists when navigating away from this page.

## Tracking a Project's Revenue

If [++**Revenue Tracking**++](https://help.tempo.io/financialmanager/latest/tracking-a-project-s-revenue.md) is on, you'll see the project's **Revenue** and **Billable** hours information here. Revenue is shown as a purple line on the graph.

* **Revenue** is based on the number of hours logged by project team members at a [++**Billing Rate**++](https://help.tempo.io/financialmanager/latest/tracking-a-project-s-revenue.md) that you define.

* **Billable** - the number of hours logged to which the [++Billing Rate++](https://help.tempo.io/financialmanager/latest/tracking-a-project-s-revenue.md) is applied.

## **Sorting the Scope Table**

In the Scope table, you can sort all numerical-type columns. This will help you analyze your data by focussing on pertinent numbers and calculations:

* Click on the name of a column with numerical-type data. For example, Cost, Time Spent, etc.

  This activates column sorting. The column is sorted in descending order, indicated by the downward chevron next to the column name.
* To switch the sort order, click on the column name again or the downward chevron to sort the column in ascending order. The values in the column are sorted accordingly, as indicated by the upward chevron.

* Click on the column name again to deactivate the sorting mode and reset the sorting back to the original mode. The chevron is deactivated in the original mode.

# Organize Multiple Projects

When you have multiple projects, it can be difficult to find the one you're looking for in the Project List. A project manager or project editor can use tags or project attributes to help organize, sort, and find the projects you're interested in.

## Tags

Any project owner or manager can add tags to their project. Tags are keywords that you create to help identify and differentiate your project. You can have up to 10 tags per project and reuse tags from other projects.

## Creating and filtering by tags

The **Tags** column displays all the tags associated with a project. Tags are keywords that you create to help identify your project. You can add tags to projects directly from the **Tags** field here (by clicking in the Tags field) or from the **Configuration** page (see [++Configuring your project++](https://help.tempo.io/financialmanager/latest/configuring-your-financial-manager-project.md) for more information). When you have many projects and want to narrow down your search, filtering by one or more tags with the **Filter by** feature helps you find specific projects.

## Project Attributes

[Project attributes](https://help.tempo.io/financialmanager/latest/configuring-project-attributes.md) are metadata that are defined by a Tempo Project Administrator for Financial Manager projects. These give you more flexibility when adding information to your project. You can include different data types, restrict the metadata into a specific format, include open text, and include users. You can have up to 10 attributes.

For example, you can include a secondary project manager for your projects as a project attribute.
